Job Description

Calton Hamman & Wolff, P.C. , a small two-attorney law firm with a general civil practice, is seeking a full-time Legal Secretary / Administrative Assistant / Bookkeeper (37.5 hours/week). This is a hands-on, multi-faceted role that supports both attorneys and the administrative needs of the office. The successful candidate will be organized, reliable, and comfortable switching between legal support and bookkeeping duties while maintaining a high level of confidentiality.
Primary Duties:
Prepare and/or review legal documents and correspondence, including briefs, contracts, pleadings, wills, trusts, and court forms, ensuring accuracy and consistent formatting. Organize and maintain documents in both paper and electronic filing systems; scan, index, and retrieve files as needed. E-file documents with clerks of court and confirm successful transmissions and docketing. Manage attorneys' calendaring, schedule hearings, client meetings, deadlines, and reminders; coordinate with courts and opposing counsel as required. Prepare monthly billing statements using billing software; track time entries and follow up on invoicing and collections.
Perform bookkeeping tasks:
deposit client and trust funds, pay bills, reconcile bank and trust accounts, and maintain accurate financial records. Answer telephone, screen calls, take messages, and greet clients in a professional manner. Order and maintain office supplies and coordinate vendor services as needed. Must be detail-oriented and proficient with QuickBooks and Microsoft Word. Willingness to obtain and maintain a Notary Public commission is required. Legal experience is preferred but not required; we are willing to train the right candidate who demonstrates strong organizational skills, a professional demeanor, and the ability to learn legal procedures.
Salary:
