A Paralegal or Legal Assistant assists attorneys and law offices with a variety of tasks ranging from administrative support to legal research and writing. Maintains and organizes files or file databases. Conducts legal or other background research, assists with preparation for trials or hearings, and drafts documents to be filed. Uses software for electronic discovery of materials such as email for a trial. May specialize in a particular area of the law such as corporate or criminal law, family law or real estate law.

Job Description

We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. We need someone who is proficient at task management and implementation. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various computer applications. This role is essential in ensuring smooth daily operations, providing exceptional customer service, and maintaining an efficient work environment. Bilingual skills are a plus, as well as experience working in law firm administration. Duties Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professional phone etiquette Perform data entry, filing, and document proofreading to ensure accuracy and organization Utilize Microsoft Office Suite and Google Workspace for report generation, correspondence, and scheduling Coordinate calendar management and appointment scheduling for staff and clients Support office management tasks such as bookkeeping, invoicing via QuickBooks, and basic office supply inventory control Provide customer support through effective communication and problem resolution Assist with clerical tasks such as typing correspondence, maintaining records, and supporting special projects Handle customer service inquiries professionally both in person and via phone or email Qualifications Proven experience in an office environment with strong clerical skills Proficiency with Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools Experience with QuickBooks or similar bookkeeping software is preferred At least a working familiarity with Clio or similar law firm case management software is a plus Excellent organizational skills with the ability to prioritize tasks effectively Strong written and verbal communication skills; bilingual abilities are a plus Knowledge of front desk operations, multi-line phone systems, and office management procedures Previous experience in medical or dental receptionist roles is advantageous Demonstrated ability to manage time efficiently and handle multiple responsibilities simultaneously High school diploma or equivalent required; additional administrative or clerical certifications are a plus

$62,400.00 per year
