Villa is seeking a professional, organized, and dependable Receptionist/Legal Assistant to join our law firm. This role is ideal for someone who values strong client service and can effectively balance front-office duties with legal administrative support. The successful candidate will serve as a key first point of contact for clients and visitors while also supporting attorneys with plaintiff civil rights and criminal defense caseloads and legal staff with day-to-day administrative needs. Responsibilities
  • Greet clients, visitors, and vendors in a professional and welcoming manner.
  • Answer and route incoming calls and respond to general inquiries.
  • Maintain a professional, organized reception area and office environment.
  • Schedule and calendar court appearances, hearings, trials, depositions, filing deadlines, meetings, and other key dates.
  • Support attorneys in maintaining accurate calendars and tracking deadlines.
  • Communicate with clients regarding recent filings, upcoming court dates, hearings, depositions, and other case-related scheduling matters.
  • Prepare and organize trial, hearing, and deposition folders and materials.
  • Assist with assembling exhibits, pleadings, correspondence, and other case documents.
  • File and organize documents electronically and in physical case files.
  • Handle copying, scanning, mailing, e-filing, and other routine administrative tasks.
  • Monitor incoming and outgoing correspondence and legal documents.
  • Provide general administrative and clerical support to attorneys and staff.
  • Assist with light office upkeep, including common areas, conference rooms, and reception.
  • Run occasional local errands and assist with office-related tasks as needed.
  • Perform other administrative and legal support duties as assigned. Qualifications
  • Prior experience in a law office; legal administrative role preferred.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple deadlines and competing priorities.
  • Professional written and verbal communication skills.
  • Strong telephone and client service skills.
  • Comfortable communicating with clients regarding scheduling and routine case matters.
  • Proficiency with Microsoft Office and general computer applications.
  • Ability to learn and use legal calendaring, filing, and case management systems.
  • Dependable, punctual, and able to work independently.
  • Ability to maintain confidentiality and exercise sound judgment with sensitive information.
  • Prior legal experience is preferred but not required for the right candidate.
