Job Description
We are seeking an experienced Litigation Legal Assistant to provide comprehensive administrative and litigation support to attorneys throughout all phases of litigation. The ideal candidate will have strong experience with legal document preparation, court filings, docket management, discovery, case files, billing, and litigation deadlines, with knowledge of New York and New Jersey state and federal court procedures preferred. Responsibilities Prepare, edit, proofread, and finalize pleadings, motions, discovery, briefs, subpoenas, summonses, complaints, cross-claims, notices, and deposition materials. Draft routine litigation documents, reports, correspondence, and memoranda. Prepare Tables of Contents and Tables of Authorities. Review documents for accuracy, formatting, and compliance with court requirements. Assist with discovery, document production, deposition preparation, and trial preparation. Maintain organized electronic and physical case files, pleadings, exhibits, and litigation binders. Prepare and electronically file documents in State, Federal, and Appellate courts. Monitor court dockets, filing deadlines, hearings, motions, and discovery deadlines. Maintain litigation calendars and provide attorneys with deadline reminders. Conduct procedural research regarding court rules and filing requirements. Prepare pro hac vice applications and coordinate service of process and subpoenas. Support new matter openings and case setup. Enter attorney time and assist with billing, timesheets, expenses, and reimbursements. Coordinate attorney travel and administrative needs. Assist with client communications, telephone calls, scanning, copying, filing, and general office support. Maintain accurate claims files, correspondence, pleadings, reports, and attorney notes. Conduct factual and litigation-related research using court databases and legal research resources. Coordinate with attorneys, paralegals, accounting, records, IT, and other departments. Review invoices from litigation vendors and court reporting services. Qualifications Experience supporting attorneys in a litigation environment. Strong knowledge of litigation procedures, court rules, and legal terminology. Experience with electronic filing in State and Federal courts. Strong organizational skills with the ability to manage multiple priorities and deadlines. Excellent proofreading, formatting, and document production skills. Strong written and verbal communication skills. Ability to work independently while collaborating effectively with attorneys and staff. High level of professionalism, discretion, accuracy, and attention to detail. Working knowledge of New York and New Jersey State and Federal court procedures preferred. Experience preparing Tables of Contents and Tables of Authorities preferred. Familiarity with electronic case management and docketing systems preferred. #INDSYN
