Estate Planning Document Coordinator Location:

Approximately 8-12 hours per week (2-3 days per week) , with potential for additional hours as the firm grows About the Position Lizzette Muniz Legal is seeking a highly organized, detail-oriented Part-Time Legal Assistant / Estate Planning Document Coordinator to support our legal team with estate planning document production, file organization, scanning, mailing, and general administrative support. This is an in-person position based at our professional home office in West Saugerties, New York. We are looking for someone who genuinely enjoys organization and takes pride in getting the details right. The ideal candidate likes checklists, orderly files, clearly defined processes, and polished finished work. You notice when a page is missing, a document is out of order, or something simply doesn't look right—and you take the initiative to correct it or bring it to the appropriate team member's attention. Accuracy, reliability, professionalism, and confidentiality are essential to this role. Key Responsibilities Print estate planning documents and other legal materials according to established firm procedures. Review document packages for completeness, correct order, formatting, and print quality. Organize and prepare estate planning documents for client signing appointments. Tab, label, separate, and assemble documents so signature and notarization sections are easy to identify. Prepare completed estate planning documents for final client delivery. Assemble professional estate planning binders, including documents, tabs, labels, covers, and related materials according to firm standards. Prepare correspondence, documents, mailing labels, envelopes, and packages for mailing or shipment. Scan signed and completed documents accurately and confirm that scans are complete and legible. Upload documents to the appropriate electronic client matter and ensure files are properly named and saved. Maintain organized physical and electronic client files. Assist with printing, copying, scanning, filing, shredding, and other document-management tasks. Monitor and organize supplies, including binders, tabs, labels, folders, paper, envelopes, and other document-production materials. Follow established checklists, workflows, and quality-control procedures consistently. Identify missing documents, incomplete packages, scanning problems, or other discrepancies and promptly notify the appropriate team member. Maintain strict confidentiality when handling client information and legal documents. Assist with other administrative and office-support responsibilities as needed. Required Qualifications Exceptional attention to detail and strong organizational skills. Dependable, punctual, and able to complete assigned work accurately and consistently. Ability to follow written procedures, checklists, and established workflows. Ability to stay organized while handling documents for multiple client matters. Comfortable using printers, scanners, copiers, and standard office equipment. Basic computer proficiency, including email, PDFs, electronic folders, and electronic document filing. Professional written and verbal communication skills. Ability to handle confidential and sensitive information with discretion and professionalism. High school diploma or equivalent. Ability to work in person in West Saugerties, New York. Preferred Qualifications Previous experience in a law firm or other professional office environment. Experience as a legal assistant, paralegal, administrative assistant, records specialist, or document-production professional. and/or personal injury matters. Proficiency with Microsoft Office and electronic document-management systems. Experience in a medical office, bank, title company, records department, or another detail-intensive professional environment. Spanish-speaking ability is a plus. You May Be a Great Fit If You... The position is in person at our professional home office in West Saugerties, New York , so candidates should be comfortable working in a professional home-office environment. $25.00 - $30.00 per hour
