Nay & Friedenberg LLC - Portland, Oregon (Johns Landing) Full-Time | Monday-Friday, 8:00 a.m.-5:00 p.m. Help Families Through Some of Life's Most Important Transitions Nay & Friedenberg LLC is seeking a Trust Administration Paralegal to join our Portland team. Since 1984, our firm has helped tens of thousands of clients and families throughout the Portland area. We love helping people, and we are looking for someone who shares that commitment. This is a client-facing position with significant responsibility for helping trustees and families navigate the administration and distribution of trusts and estates. The person in this role will work fairly independently under attorney supervision and will have substantial direct contact with clients, beneficiaries, financial institutions, tax preparers, and other professionals. Prior trust administration experience is preferred, but we are also interested in candidates whose experience in estate planning, probate, banking, financial services, tax preparation, or other related fields have given them the legal, organizational, financial and client service skills necessary to succeed in this position. What You'll Do Your responsibilities will include: Analysis of estate plans including trust agreements and wills Assist with trust administration following a death Coordinate with probate department on certain administration files Serve as a primary day-to-day contact for multiple clients and trustees Communicate with beneficiaries and other third parties Gather, organize and value estate and trust assets Prepare asset inventories and trust accountings Coordinate distributions to beneficiaries Prepare deeds and other asset-transfer documents Obtain EINs and assist with opening estate and trust accounts Work with banks, brokerage firms and other financial institutions Coordinate with CPAs, tax professionals and other advisors Assist with Oregon, Washington, and Federal estate tax matters and filings Draft correspondence and legal documents including beneficiary notices, trustee reports, settlement agreements, consents, waivers, and receipts Track deadlines and keep matters moving toward completion Maintain organized and accurate client files Work collaboratively with attorneys and other members of our team The position has a billable-time expectation of 85 hours per month . What We're Looking For We are looking for someone who is: Highly organized and detail-oriented An excellent written and verbal communicator Comfortable working independently and taking responsibility for assigned matters Professional and confident when communicating with clients, financial institutions, and tax preparers Compassionate, empathetic, and patient when working with families following the death of a loved one Comfortable working with financial information and numbers Able to manage multiple matters, priorities and deadlines Flexible and adaptable, recognizing that no two client matters are alike and that each file may require a different approach A creative and resourceful problem-solver who can think outside the box when faced with unusual or unexpected issues Able to exercise sound judgment and take initiative when established procedures do not fit the circumstances of a particular matter Interested in learning and continuing to develop professionally A collaborative team member Experience We prefer candidates with: At least one year of trust administration or related experience ; experience in estate planning, probate, banking, financial services, tax preparation or a similar field will also be considered At least three years of professional office experience Experience working in a professional environment with significant client or customer contact Proficiency with Windows and the Microsoft 365 Office suite, particularly Word, Excel and Outlook Why Nay & Friedenberg?
