THE ROLE
We are looking for a Senior Paralegal / Case Manager to run the day-to-day movement of our personal injury and criminal defense files. The caseload runs roughly two-thirds personal injury and one-third criminal defense. You will be the person who keeps cases moving between attorney touchpoints, opening files, chasing records and discovery, tracking deadlines, and keeping clients informed. There is also a general office and administrative component to the job. It comes up mainly when covering for a team member who is out, so it should be expected from time to time but is not a regular part of the week. This is a job for someone who runs files rather than waits for assignments. We have built task lists and workflows for our matter types, and we expect you to work inside them and to tell us where they should be better. What you will not have is someone assigning you work every morning and checking behind you to see whether it got done. The right person opens a new matter, knows what has to happen next, and makes it happen without being asked twice. You will have attorney direction and sign-off where it matters. If you have been the person your firm quietly relies on to keep everything from falling through the cracks, this is the seat we are trying to fill. This role requires experience in both practice areas. Although we train on how we use our systems and handle these matter types, you need to walk in already able to run these types of files on both the personal injury and criminal defense sides. Applicants with experience in only one will not be considered.
WHAT YOU'LL DO
Personal Injury Matters Open and maintain case files in our case management system Open claims with carriers, obtain claim numbers, and send letters of representation Request and track medical records and bills; follow up until they arrive Build and maintain treatment chronologies and medical summaries Identify and track liens and reimbursement claims Follow up with clients on treatment status and gaps in care Gather police reports, photographs, witness information, and wage-loss documentation Assemble demand packages for attorney review Handle routine status communication with adjusters Criminal Defense Matters Open and maintain case files; keep the attorney calendar accurate Track court dates, deadlines, and continuances Request, track, and organize discovery for attorney review Pull docket sheets, complaints, and reports through PACFile and county systems Prepare entries of appearance, continuance requests, subpoenas, and routine filings for attorney review and signature Handle ARD, expungement, and license-restoration paperwork from start to finish Coordinate with court staff, probation, bail agencies, and treatment providers Keep clients updated on court dates, obligations, and case status Office & Administrative Coverage Expected from time to time, primarily when covering for a team member who is out: Answer and route incoming calls; greet clients Mailings, scanning, copying, and physical file maintenance Scheduling, conference room coordination, and calendar support Office supplies and routine vendor coordination Back up client intake when needed
WHAT WE'RE LOOKING FOR
5+ years of law firm experience, including at least 3 years of substantive work on plaintiff personal injury files and at least 2 years on criminal defense files You should be able to point to personal injury files you carried from intake through demand, and criminal files you ran from preliminary hearing through disposition Self-sufficient. You move files forward without day-to-day management Comfortable working inside an established process and system, and willing to say where it should be improved Someone who tracks deadlines without being reminded, which is the core of the job Sound judgment about what needs an attorney and what does not Comfortable with high volume and shifting priorities Strong, plain-spoken communicator; our clients are often stressed and need straight answers Detail-oriented on records, dates, and documentation Comfortable with case management software; Clio experience is a plus Discreet and professional with sensitive information Notary commission or willingness to become one
