Paralegal & Administrative Specialist Weiss Zarett Brofman Sonnenklar & Levy, P.C. is a well-established law firm seeking a highly organized, detail-oriented Paralegal & Administrative Specialist to support the firm's legal and administrative functions. This position is ideal for someone who enjoys a diverse workload and can adapt to changing priorities. The successful candidate will provide overflow support to attorneys and staff, assist with firm audits and compliance-related projects, handle administrative responsibilities, and perform billable legal support work as needed. Responsibilities Provide administrative and paralegal support to attorneys and staff throughout the firm. Assist with overflow work across multiple practice areas and departments. Coordinate and manage firm audits, including gathering documentation, tracking requirements, and ensuring deadlines are met. Prepare, organize, and maintain legal and administrative documents. Assist with client communication and follow-up as needed. Track and maintain billable time in accordance with firm requirements. Assist with billing, reporting, document management, and special projects. Maintain spreadsheets, databases, and internal tracking systems. Serve as a backup resource for administrative team members during absences and high-volume periods. Handle confidential and sensitive information with professionalism and discretion. Qualifications Prior paralegal, legal assistant, or administrative experience required. Strong organizational and multitasking skills with exceptional attention to detail. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Experience coordinating audits, compliance reviews, or documentation management is preferred. Ability to work independently and as part of a team. Law firm experience is preferred. Notary Public is a plus. Benefits Competitive salary based on experience. New hires are required to work in the office for their first 30 days.
