Job Description

Growing Western Massachusetts law firm specializing in wealth management and estate planning seeks an organized and conscientious Client Service Coordinator who shares our core values to work with our top, high net worth clients for their personal estate planning needs. We are a goal-oriented firm looking to hire a personally responsible, team-player with integrity and a can-do attitude, and someone who is comfortable with accountability and seeks personal and professional development. A paralegal certification is not specifically required for this position, but prior legal, Probate, or Document Drafting experience is preferred.

The Client Services Coordinator handles incoming phone calls, scheduling of in person and virtual meetings and phone calls, preparing and sending routine letters/correspondence including e-mails, word processing tasks, spreadsheet work, data entry/management, preparing materials for various types of meetings and presentations, drafting of simple legal and business entity documents, and other miscellaneous tasks that require a basic understanding of Word, Excel, Outlook, and PowerPoint. This position has long-term career potential and comes with competitive hourly wages, benefits and potential for periodic bonuses. The work week is 40 hours per week, typically Monday through Friday, 8:30am to 5:00pm, with some flexibility as appropriate. This position is not remote, and requires in-person work in one of our firm's main office locations, including Easthampton, though regularly scheduled "remote work" days can be arranged after initial training is completed.

Preferred Skills and Qualifications:
  • Proficiency with Microsoft Office Suite including Word, Excel, Outlook, PowerPoint, and Adobe Acrobat; in-depth skill with Excel a plus
  • Experience handling formation and maintenance of corporations, LLCs, and partnerships, experience working for a business attorney preferred
  • 3 or more years in administrative functions or equivalent; previous accounting or financial services experience a plus
  • Team-player, reliable, detail oriented, driven, motivated, thorough, honest, exceptional organizational skills and follow through
  • Ability to think and communicate with numbers, diagrams, and spreadsheets
  • Capable of multi-tasking and prioritizing high-volume workload effectively
  • Strong computer skills, generally
  • Excellent math and language skills and a penchant for accuracy
  • Willing to learn this unique field of law
  • Consistent, low-key, deadline oriented, client-friendly attitude
Job Responsibilities:
  • Manage and prioritize high volume caseload
  • Provide exceptional customer service and develop strong client relationships
  • Using software to draft legal documents
  • Draft outgoing mailings and correspondence
  • Prepare, edit and proofread trusts, estate planning documents, and business documents
  • Assist Senior Attorneys with tracking caseload, monitoring and following up on requests and action items
  • Self-managed follow up on delegated assignments
  • Retrieve, input and submit financial forms
  • Maintain client files
