The Legal Administrative Assistant will support a small Estate Planning, Trusts and Estates Law Firm, working closely with 1-2 attorneys and other administrative support staff. The role of the Legal Administrative Assistant is critical to the smooth operation of our law firm, as they are responsible for maintaining the day-to-day functions of the office, allowing attorneys to focus on their legal work. This role involves managing a wide range of administrative, personal and legal support tasks to ensure smooth office operations and effective client service. The assistant will need to facilitate the attorneys' day to day operations with ease and with understanding for how to make their lives run smoothly so that their focus can be on their substantive legal workload and the needs of the clients they serve. The assistant will need to know how to use Quickbooks and will have as part of their administrative tasks, the responsibility of running payroll and handling the books and records. The assistant will handle confidential matters with discretion and assist with both legal and personal administrative errands, occasionally requiring local travel. The assistant must be familiar with documenting legal tasks and keeping up with billable time on a daily basis. The assistant will be incentivized for strong performance. We have an office Labrador named Maple, so the assistant must love dogs! Responsibilities include but are not limited to the following: Manage attorney calendars in all aspects and coordinate meetings and appointments Prepare legal documents and correspondence with Attorney oversight Quickbooks and Payroll Communicate with clients and manage client expectations Assist with legal research and file management, scanning and file organization Coordinate travel arrangements and billing support Handle phone triage and all correspondence Maintain confidentiality in handling sensitive information Perform personal and legal administrative errands and tasks as needed Required Qualifications Minimum 1 year experience in legal assistance or a strong background in administrative assistance and office management Quickbooks - at least 1 year of experience in running payroll and handling books and records Preferred Qualifications Bachelor's degree in Legal Studies or related field Paralegal Certificate or Degree Knowledge of legal terminology and document management systems Computer proficiency Proficiency in Microsoft Office Suite Strong time management and communication skills Demonstrated confidentiality and organizational skills Ability to multitask with attention to detail Experience drafting correspondence and managing client expectations Must carry themselves professionally
Pay:
$25.00 - $35.00 per hour
