Position Overview:
We are seeking an experienced, highly organized, motivated, and detail-oriented Transactional Team Assistant to support attorneys practicing in estate planning, estate administration, corporate and transactional law, and real estate matters. This successful candidate will provide comprehensive administrative support including, document preparation and formatting, file management, client communication, scheduling, and coordination of client meetings. The ideal candidate will possess strong organizational skills, excellent attention to detail, a commitment to exceptional client service, and the ability to effectively manage multiple priorities in a fast-paced professional environment.
Key Responsibilities:
Manage attorney calendars, appointments, deadlines, and scheduling. Coordinate meetings, conference calls, and client appointments. Coordinate client meetings and document execution ceremonies, including notary and witness arrangements. Monitor deadlines and ensure timely completion of assigned task. Answer and direct phone calls and respond to routine inquiries. Handle incoming and outgoing correspondence, mail, and delveries. Maintain confidentiality of client and firm information at all times. Draft, revise, proofread, and format correspondence and legal documents. Prepare documents packages for client meetings, closing, signings, and court filings. Maintain and organize electronic and physical client files in accordance with firm procedures. Assemble executed estate planning portfolios, closing binders, and transaction files. Enter attorney time and assist with billing and expense processing as needed.
Qualifications and Skills:
Minimum of three years of secretarial, administration assistant, executive assistant, or related office support experience. Legal office experience, including legal secretary experience is referred but not required. Strong proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and Adobe Acrobat. Strong organizational and time-management abilities, with the capacity to manage multiple assignments and deadlines. Exceptional attention to detail and accacy. Professional written and verbal communication skills. Strong interpersonal skills and a client-service mindset. Ability to work independently while collaborating effectively with attorneys and staff. Experience with legal practice management, document management, and electronic filing systems is preferred. Associate degree or comparable experience is preferred.
Work Environment and Expectations:
Full-time, on-site position located in downtown Chattanooga, Tennessee. Standard business hours are 8:00 a.m to 5:00 p.m., Monday through Friday Professional office environment requiring regular interaction with attorneys, staff, clients, and outside professionals.
