We are seeking a detail-oriented and experienced Legal Administrative Assistant skilled in office administrative and litigation support. This is an opportunity to play a key role in supporting complex litigation matters while contributing to the day-to-day operations that keep the office running efficiently. Key Responsibilities Office Administration and Client Support Serve as a professional first point of contact by answering phones, greeting clients and visitors, and handling incoming and outgoing correspondence. Coordinate meetings, conference room setup, client events, and firm lunches. Process invoices, expense reimbursements, and payments to vendors, experts, and service providers. Scan, download, and save documents to the network. Maintain office supplies, equipment, and general office organization. Run local errands using a personal vehicle when necessary. Assist with special projects and other administrative duties as assigned. Legal and Litigation Support Provide administrative support to multiple attorneys. Prepare, file, and manage documents in state and federal courts. Open new matters, conduct conflict checks, prepare engagement letters, and maintain case files. Review, organize, and maintain court filings, case records, and electronic documents. Manage attorney calendars, court deadlines, appointments, and scheduling. Prepare case lists, reports, presentations, binders and other client or litigation-related materials. Enter attorney time into billing systems.
Skills and Qualifications:
3+ years of experience as an Administrative Assistant or Office Assistant in a legal office required. Civil litigation experience preferred; medical malpractice or defense litigation experience is a plus. Knowledge of legal terminology, court procedures, and filing requirements preferred. Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. Proficiency with Adobe Acrobat and PDF document management. Experience with document management, electronic filing, and timekeeping systems. Strong organizational, communication, and time-management skills. Ability to manage multiple priorities and work effectively in a fast-paced environment. High level of accuracy, professionalism, and attention to detail. Typing speed of 60+
