Role Summary The primary goal is to maintain a professional, compassionate front-office environment while ensuring attorneys and paralegals have the organizational support needed to meet strict court deadlines.Core Responsibilities Front Desk Management:
Greet clients and visitors warmly; manage a multi-line phone system to screen and direct calls to appropriate staff.Client Intake:
Perform initial screening and intake for potential clients, ensuring sensitive information is handled with absolute confidentiality.Calendar Coordination:
Schedule consultations, meetings, and hearings, and maintain the firms master calendar to track critical legal deadlines.Document Support:
Assist in drafting basic legal correspondence, formatting simple pleadings, and organizing physical and electronic case files.Administrative Logistics:
Process incoming and outgoing mail, manage courier deliveries of court documents, and ensure office supplies are replenished.Office Maintenance:
Ensure the lobby, conference rooms, and reception areas remain tidy and professional at all times.Required Qualifications Bilingual Skills:
Fluency in English and Spanish is highly preferred to serve the local community.Communication Skills:
Exceptional interpersonal skills with the ability to remain calm and empathetic when speaking with clients in stressful situations.Technical Literacy:
Proficiency in Microsoft Office (Word, Outlook) and a willingness to learn legal practice management. Attention toDetail:
Precision in data entry, filing, and managing attorney schedules to avoid missed deadlines.Education:
A high school diploma or equivalent is required; prior experience in a legal or corporate administrative setting is highly preferred. Positive Attitude Ability to Multitask in a fast-paced environment Ability to follow instructions and complete assigned tasksPunctuality and Reliability Schedule:
