Our medical malpractice team handles complex, high-stakes cases requiring attention to detail, proactive case management, and strong organizational skills. We are seeking an experienced Medical Malpractice Paralegal to join our team. This is an excellent opportunity with a seasoned litigation team who thrives in a fast-paced environment, takes ownership of their cases, and can work with a high degree of autonomy. Position Overview The ideal candidate will serve as a key member of our litigation team, managing a caseload from intake through trial. This individual must be highly organized, proactive, and capable of keeping cases moving forward with minimal supervision. While direct medical malpractice experience is preferred, candidates with substantial personal injury litigation experience and strong medical records management skills are encouraged to apply. Key Responsibilities Litigation Case Management Manage medical malpractice and personal injury cases from inception through resolution Maintain case calendars, deadlines, and litigation schedules Track case progress and proactively identify outstanding tasks and follow-up items Coordinate communication among attorneys, clients, experts, courts, and opposing counsel Maintain case status reports and ensure matters continue moving efficiently Discovery and Document Preparation Draft and prepare written discovery requests and responses Draft notices of deposition, subpoenas, simple motions, orders, and other litigation documents Prepare and track witness and records subpoenas Organize, Bates-stamp, OCR, and prepare medical records for review and production Assemble and manage document productions Coordinate responses to requests for production and other discovery obligations Prepare 15-day letters and follow-up correspondence regarding records requests Medical Records and Expert Coordination Manage the collection, organization, and tracking of medical records Maintain medical records status logs and case management reports Assist with medical chronology preparation and case analysis Identify and obtain additional records from healthcare providers and facilities Coordinate expert retention, engagement agreements, and expert file preparation Assemble expert review packages and track expert activities, deadlines, and invoices Assist with expert disclosures and supporting materials Trial and Deposition Support Prepare deposition exhibits and witness binders Assemble trial and hearing notebooks and case materials Coordinate witness and expert scheduling Support attorneys during trial preparation and litigation events Manage exhibit organization and document presentation materials Administrative and Firm Support Enter and manage attorney and paralegal time entries Review and edit billing entries Process expense reimbursements and check requests Conduct conflicts checks and prepare new matter documentation Manage attorney calendars and scheduling Coordinate travel arrangements, meetings, and conference logistics File documents electronically in state and federal courts Utilize litigation support and document management systems Qualifications Required Minimum 3+ years of litigation paralegal experience Experience handling personal injury, medical malpractice, or other complex civil litigation matters Strong understanding of litigation procedures and deadlines Experience managing cases with limited attorney supervision Excellent organizational and project management skills Exceptional written and verbal communication abilities Ability to prioritize competing deadlines in a busy litigation environment Preferred Medical malpractice litigation experience Experience reviewing and organizing medical records Familiarity with expert witness coordination Federal and Virginia state court e-filing experience Knowledge of PACER, LexisNexis, ShareFile, or similar litigation platforms Paralegal certificate or equivalent experience What Success Looks Like The successful candidate will: Own and manage assigned cases proactively Anticipate case needs before deadlines arise Keep attorneys informed of case status and outstanding issues Ensure medical records, experts, and discovery are handled efficiently Contribute to a collaborative and high-performing litigation team Reduce administrative burden on attorneys while maintaining exceptional client service Compensation & Benefits Crenshaw, Ware & Martin offers a competitive compensation package commensurate with experience, including: Competitive salary Health benefits Paid time off Retirement benefits Professional development opportunities Stable, collegial work environment
