101 South Main Street, Fort Atkinson Part-time | In-person only Hein Law Office is seeking a dependable, organized, and personable assistant to help with reception, client service, and daily office operations. Our practice focuses on estate planning, elder law, probate, and related matters. This is an administrative support position. Previous law firm experience is welcome but not required. We are looking for someone who communicates clearly, follows through, and helps clients feel welcomed and informed. Responsibilities Answer incoming calls, take accurate messages, and route inquiries. Welcome clients and assist with appointment scheduling and reminders. Help with client intake and follow-up. Print, assemble, scan, and organize documents. Assist with preparation for client meetings and document signings. Maintain accurate client information and assist with routine office tasks. Handle sensitive client information with discretion and confidentiality. Schedule The position is approximately 20 hours per week , with work scheduled Monday through Friday.
Options include:
Five mornings, 8:00 a.m.-noon . Five afternoons, noon-4:00 p.m. A consistent combination of morning and afternoon shifts. Alternatively, three eight-hour days, totaling 24 hours per week . We can work with the selected candidate to establish a schedule that fits both their availability and the office's needs. Once agreed upon, the schedule will remain predictable and consistent from week to week. All work must be performed in person at our Fort Atkinson office. Remote work is not available. Qualifications Dependable attendance and punctuality. A friendly, professional manner with clients and callers. Strong organizational skills and attention to detail. Comfort using computers, email, calendars, and learning office software. Willingness and ability to use the Grasshopper app on your personal cell phone to answer business calls during scheduled working hours . Previous administrative, reception, or customer service experience preferred. Previous law firm experience preferred but not required. A current Wisconsin notary commission is preferred but not required.
