Position Overview:

Carey & Stewart, PLLC is a busy law firm in Weirton, West Virginia, serving clients in a variety of practice areas. We pride ourselves on providing professional legal representation while remaining approachable, practical, and relatable to our clients. We are seeking a dependable and motivated Legal Administrative Assistant to join our office. This is a hands-on position that will provide administrative and legal support to our attorneys and staff, as well as assist with the day-to-day operation of the firm. We are looking for someone who is organized, comfortable working in a busy professional environment, and willing to take initiative. The successful candidate will have the opportunity to take on increased responsibility within the firm over time based upon experience, initiative, and demonstrated ability.

Schedule:

Monday through Friday during regular business hours.

Primary Responsibilities:

Provide administrative and clerical support to attorneys and legal staff Manage incoming telephone calls, including communicating professionally with clients and prospective clients, determining the nature of inquiries, directing calls appropriately, and accurately documenting messages Assist with preparing, formatting, organizing, and processing correspondence and legal documents Organize and maintain electronic and physical client files Assist with case and matter management, including updating information and tracking outstanding items Communicate professionally with clients, courts, attorneys, and other outside offices Assist with scheduling, calendars, appointments, and meetings Help coordinate records, documents, and other information needed for client matters Assist with maintaining efficient day-to-day office operations and administrative processes Help develop and maintain organized office procedures and workflows Assist with the implementation and effective use of the firm's case-management and other technology systems Provide general administrative support to attorneys and staff as needs arise Take on increased administrative and office-coordination responsibilities over time based upon experience, initiative, and demonstrated ability

Qualifications:

Proficient in Microsoft Word, including document formatting and editing Proficient in Adobe Acrobat, including creating, editing, organizing, and combining PDF documents Strong working knowledge of Microsoft Excel Strong telephone and interpersonal communication skills, including the ability to professionally manage calls from clients and prospective clients Strong organizational skills and attention to detail Strong written and verbal communication skills Comfortable learning and working with case-management software and other office technology Ability to prioritize and manage multiple assignments and interruptions Self-motivated and able to identify and complete necessary work without continuous direction Good judgment and problem-solving skills Professional and personable when communicating with clients and others Dependable and punctual Ability to maintain confidentiality and appropriately handle sensitive information

•Prior experience in a law office or other professional office environment is preferred. Legal experience is helpful but is not required for a candidate with strong administrative skills, initiative, professionalism, and the ability to learn. Carey & Stewart, PLLC is an equal opportunity employer.
