This role tracks required documentation, supports internal audits, and assists with safety, quality, and regulatory programs company-wide. Essential Duties and Responsibilities Safety & Compliance Support company compliance with federal, state, local, and customer safety requirements. Help administer company safety programs, policies, and procedures. Maintain accurate, current compliance records and audit-ready electronic files. Collect and organize compliance documentation from all locations, tracking deadlines and following up as needed. Quality Compliance Collect, upload, and organize monthly quality compliance documentation in Smartsheet and other company systems. Track outstanding requirements and follow up with site personnel on missing information. Support quality compliance initiatives and continuous improvement efforts. Internal Audits Prepare documentation and coordinate schedules for internal and external audits. Maintain audit records and track corrective actions through to completion. Support follow-up activities from audit findings. Workers' Compensation & Incident Management Process and track Workers' Compensation claims, maintaining documentation and communicating with managers, insurance carriers, and third-party administrators. Assist with incident reporting, follow-up documentation, and recordkeeping for workplace injuries. Fleet Compliance Coordinate DMV commercial vehicle registration renewals and track related deadlines. Manage truck citations and violations, including payment, documentation, and case closure. Maintain fleet compliance records, including CA Clean Truck documentation. Licensing & Training Administration Issue forklift operator licenses upon completion of training requirements. Maintain forklift certification and training records in Smartsheet. Collect and maintain employee driver's licenses and qualification documents, keeping records current. Administrative Support Maintain departmental spreadsheets, databases, and tracking systems. Organize electronic filing systems for easy document retrieval. Generate reports and provide general administrative support for department initiatives. Communicate professionally with employees, managers, vendors, and regulatory agencies. Perform other compliance-related duties as assigned. Required Qualifications 2+ years of administrative experience, preferably in safety, quality, compliance, transportation, logistics, manufacturing, or warehousing. Working knowledge of compliance documentation and recordkeeping practices. Strong organizational and time management skills with exceptional attention to detail. Ability to manage multiple projects and deadlines simultaneously. Ability to speak and write English fluently. Excellent written and verbal communication skills. Strong computer proficiency, including Microsoft Office Suite (Excel, Word, Outlook), with the ability to quickly learn new software systems. Experience maintaining electronic records and document management systems. Ability to work independently with minimal supervision and sound judgment. Proactive follow-through in identifying missing information or overdue items. Professional demeanor with strong customer service and interpersonal skills. Preferred Qualifications Experience in transportation, distribution, warehouse, or logistics operations. Knowledge of OSHA regulations and workplace safety practices. Experience with internal audits or compliance programs. Experience with Workers' Compensation administration. Experience using Smartsheet or similar project management platforms. Experience with DOT or fleet compliance documentation. Physical Requirements Ability to sit, stand, and walk for extended periods. Ability to occasionally lift up to 25 pounds. Ability to use standard office equipment, including computers and printers. Occasional visits to warehouse and operational environments requiring PPE and safety compliance. Travel Requirements Occasional travel to company facilities, primarily on the West Coast, for audits, compliance activities, or departmental initiatives. Work Schedule Monday-Friday, 8:00 a.m.-4:30 p.m., subject to adjustment based on business needs. Occasional overtime or travel may be required.
