Job Description

Foundations Family Therapy is seeking a Lead Client Care Coordinator to oversee and elevate the client experience from first contact through ongoing care. This role combines front-line client support, team leadership, and operational coordination, ensuring that our systems run smoothly while clients feel cared for, supported, and connected. We have a variety of services including therapy services, group therapy, psychological testing, and medication management. Our team also includes our billing and client care team. Description Key Responsibilities Client Experience & Care Coordination Serve as the primary point of contact for new and existing clients, ensuring a warm, responsive, and professional experience Manage intake process including scheduling, matching clients with clinicians, and onboarding Troubleshoot client concerns with empathy, professionalism, and efficiency Maintain high standards of communication across phone, email, and messaging platforms Team Leadership Supervise and support Client Care Coordinators, providing training, coaching, and performance oversight Develop and maintain onboarding and training systems for client care team members Foster a culture of excellence, responsiveness, and client-centered service Operations & Systems Oversee scheduling systems, clinician availability, and caseload flow across the practice Identify workflow inefficiencies and implement process improvements Ensure accurate documentation and data tracking within EHR/CRM systems Support KPI tracking related to client acquisition, retention, and responsiveness Collaboration & Communication Partner with clinical and operations leadership to align client care processes with practice goals Communicate effectively with clinicians regarding scheduling, client needs, and transitions Support implementation of new initiatives and service lines Qualifications 3+ years of experience in administrative, client care, or operations roles (healthcare or mental health preferred) Prior leadership or supervisory experience strongly preferred Strong organizational and problem-solving skills with attention to detail Excellent interpersonal and communication skills Ability to manage multiple priorities in a fast-paced environment Experience with EHR systems, scheduling software, or CRM platforms preferred Key Competencies Client-centered mindset with high emotional intelligence Strong leadership and accountability Systems thinker with ability to improve processes Proactive, solution-oriented approach Ability to balance empathy with efficiency What We Offer Opportunity to play a key role in a growing, mission-driven organization Collaborative and supportive team culture Professional growth and leadership development opportunities Competitive compensation Health, vision and dental insurance (full time) PTO and paid holidays (full time) Salary $23
