Job Description
As a Legal Assistant in our law firm, you will play a crucial role in supporting our legal team to ensure efficient operation and delivery of legal services to our clients. You will collaborate closely with attorneys, of-counsel, and paralegals to assist in various legal tasks, administrative duties, and client interactions. The ideal candidate will possess excellent organizational skills, attention to detail, and an understanding of legal procedures and terminology.
KEY RESPONSIBILITIES
1.Administrative Support:
Provide comprehensive administrative assistance to attorneys and paralegals, including managing schedules, coordinating appointments, and organizing meetings. Manage incoming calls, emails, and inquiries, and relay messages promptly and accurately. 2.Document Preparation :
Prepare, format, proofread, and edit legal documents such as pleadings, briefs, contracts, and correspondence using word processing software. Ensure accuracy and compliance with formatting requirements and legal procedures. 3.Client Interaction :
Communicate with clients, witnesses, and other external parties to gather information, and schedule meetings. Always maintain professional and courteous interactions. 4.File Maintenance :
Maintain organized and up-to-date physical and electronic filing systems for case files, correspondence, and other legal documents. Ensure that documents are properly labeled, indexed, and accessible to authorized personnel. 5.Calendar Management :
Manage attorney calendars, including scheduling appointments, court appearances, and deadlines. Remind attorneys of upcoming events and deadlines to ensure timely completion of tasks. 6.Court Filings :
Assist with the preparation, filing, and service of legal documents with courts and administrative agencies. Ensure compliance with filing requirements and deadlines and track the status of filings. 7.Billing Assistance :
Assist in the preparation of client invoices, including recording attorney time and expenses accurately in billing systems. Manage billing inquiries from clients and provide support in resolving billing-related issues. 8.Office Support :
Support and augment Receptionist position on a scheduled and as needed basis. Maintain cleanliness and organization in common areas and assist with general office duties as required. Assist in the organization and support various office activities. 9.Confidentiality :
Manage confidential information with discretion and always maintain the confidentiality of client matters and firm operations. 10.Team Collaboration :
Collaborate effectively with attorneys, paralegals, and other support staff to ensure seamless workflow and exceptional client service. Participation in process improvement efforts to improve Firm efficiencies and effectiveness. 11.Technology Proficiency :
Utilize legal software and tools proficiently to perform tasks such as document management and timekeeping. Proficiency in use of internet for information purposes necessary.QUALIFICATIONS
High school diploma or equivalent; additional certification or coursework in legal studies preferred. Previous experience as a legal secretary, pre-paralegal, administrative assistant in a law firm or legal environmentREQUIRED.
Proficiency in Microsoft Office suite and other relevant software applications. Strong organizational skills and attention to detail. Excellent communication and interpersonal skills. Independent and adaptive learner. Ability to multitask, prioritize tasks, and meet deadlines in a demanding environment. Knowledge of legal terminology, procedures, and document formatting. Professional demeanor and commitment to maintaining confidentiality. Willingness to learn and adapt to modern technologies and procedures.Job Type:
