Job Description

Job Overview FleetFix Truck Service is seeking an organized, customer-focused truck service writer to join our fast-paced commercial fleet repair team. As the main connection between our customers and technicians, you will help keep repairs moving, customers informed, and our Fullbay schedule organized. You will work with commercial fleet customers who depend on us for reliable in-shop and mobile repairs, preventive maintenance, diesel diagnostics, and heavy-duty truck service. This role is ideal for someone who understands truck repair, communicates clearly, and takes ownership of the customer experience from the initial service request through final invoicing. At FleetFix, we focus on building long-term fleet relationships by helping customers stay ahead of maintenance and minimizing vehicle downtime. Responsibilities Greet customers professionally and listen carefully to understand their vehicle concerns and service needs Create detailed and accurate repair orders in Fullbay Schedule service appointments and maintain the Fullbay calendar to keep shop workflow organized Communicate repair needs, priorities, estimates, and timelines clearly to customers Coordinate with technicians regarding diagnostics, diesel engine repairs, brakes, air brakes, suspension, steering, alignments, tires, electrical concerns, preventive maintenance, and other heavy-duty truck repairs Review courtesy inspection findings and help customers understand recommended repairs and maintenance Provide customers with regular updates throughout the repair process Obtain customer authorization before additional work is performed Recommend preventive maintenance and necessary repairs based on vehicle condition, mileage, engine hours, service history, and fleet usage Help fleet customers plan upcoming maintenance to reduce breakdowns and unexpected downtime Coordinate with technicians, parts personnel, vendors, and towing providers to keep repairs moving efficiently Prepare accurate estimates and invoices and process customer payments when needed Document customer communication, approvals, declined work, and vehicle history accurately Follow up with customers and help build lasting relationships based on trust, transparency, and dependable service Qualifications At least one year of service writing experience is required Heavy-duty truck, diesel repair, fleet maintenance, or automotive service experience is strongly preferred Working knowledge of truck repair and preventive maintenance services Experience using Fullbay or similar shop-management and estimating software is preferred but training can be provided. Strong customer-service, organization, and time-management skills Ability to explain technical information clearly and professionally Ability to manage multiple repair orders and changing priorities in a fast-paced environment Comfortable recommending needed repairs and maintenance without using high-pressure sales tactics Strong attention to detail when preparing repair orders, estimates, authorizations, and invoices Valid driver's license with a clean driving record What We Value Clear and honest communication Accountability and follow-through Accurate documentation Respect for our customers and technicians A team-first attitude A commitment to minimizing downtime for our fleet customers Building long-term customer relationships instead of focusing on one-time repairs Join us to be part of a vibrant team dedicated to delivering exceptional truck service! Pay:
$18.00 - $32.00 per hour
