www.thearrimourgroup.com Position Overview We are seeking an organized and mechanically knowledgeable Fleet Service Coordinator to support the day-to-day administrative and coordination needs of our fleet and maintenance operations. This position will work closely with our Director of Fleet, Shop Manager, mechanics, project teams, vendors, and outside repair facilities to help keep company vehicles and equipment maintained, repaired, documented, and operational. The ideal candidate does not need to be a mechanic but should have enough mechanical knowledge to understand repair terminology, communicate effectively with technicians, research parts and equipment information, and coordinate repairs. Strong organization and follow-through are essential, as this position will help manage service activity for equipment operating both locally and on projects throughout the country. Responsibilities Open, update, and close work orders for fleet maintenance and repairs. Schedule and coordinate repairs and preventive maintenance for company vehicles and equipment, both locally and on projects throughout the country. Locate and coordinate with outside repair facilities when equipment cannot be serviced internally, including obtaining quotes and repair authorizations. Communicate repair status, timelines, and equipment availability to Operations Managers, Project Managers, and other team members. Follow up with mechanics and outside repair facilities to ensure outstanding repairs are completed in a timely manner. Research parts, diagrams, service manuals, and part numbers for company vehicles and equipment. Order parts and supplies and track availability, deliveries, back orders, and warranties. Maintain accurate maintenance records, including service history, repair costs, warranties, and work order documentation. Collect and organize parts and repair invoices and submit documentation to Accounting for payment. Assist with coordinating equipment entering and leaving the shop. Help keep the shop organized administratively by tracking outstanding repairs, scheduled maintenance, parts orders, and other service needs. Provide administrative and coordination support to the Fleet Director, Shop Manager, and maintenance team as needed. Qualifications Previous experience in a fleet, automotive, heavy equipment, equipment rental, dealership, service department, repair shop, or similar environment preferred. General mechanical knowledge and the ability to understand common vehicle and equipment repair terminology. Ability to research parts, diagrams, manuals, and equipment information. Strong organizational skills with the ability to manage multiple open repairs, work orders, and parts requests at the same time. Strong communication and follow-up skills. Comfortable communicating with mechanics, vendors, repair facilities, managers, and field personnel. Strong attention to detail and ability to maintain accurate records. Basic computer proficiency and ability to learn fleet management, work order, and company software. Ability to work independently while supporting a fast-paced shop and field operation.
