Job Description
About the Role We're looking for an experienced service professional to manage customer and technician communication, oversee repair documentation and estimates, and supervise the service writer team. This role bridges the shop floor and the customer — ensuring repairs are properly diagnosed, estimated, scheduled, and completed on time. Key Responsibilities Diagnose repair needs, evaluate repair-vs-replace decisions, and prepare accurate customer estimates Create and manage work orders from intake through closeout, ensuring timely billing Build and maintain the weekly technician schedule, prioritizing jobs and assigning new orders as they come in Communicate progress updates to customers and follow up post-service to confirm satisfaction Coordinate with vendors for parts, equipment, and service needs Process related invoices and purchase orders Supervise and train the service writer team Maintain accurate repair records and ensure compliance with safety, environmental, and regulatory standards Qualifications Proven experience in service writing or a similar shop management role Strong mechanical knowledge of vehicles/heavy equipment and shop practices Working knowledge of relevant federal, state, and local maintenance/repair regulations Skilled in cost estimating, invoicing, and basic accounting/math for labor rates Proficient with spreadsheets and shop management systems Excellent written and verbal communication skills for customer, vendor, and staff interactions Strong analytical skills, attention to detail, and ability to manage multiple priorities under pressure
