Hoppy Heating & Air has an immediate opening for an experienced HVAC Install Coordinator to join our team. This position plays a key role in keeping our residential installation department organized and running efficiently. The ideal candidate will have experience in the HVAC industry, understand residential heating and cooling equipment, and be comfortable coordinating jobs from the time they are sold through completion. Previous experience ordering HVAC equipment and materials is required.

Monday-Friday Responsibilities Coordinate residential HVAC installation jobs from sale through completion. Order furnaces, air conditioners, heat pumps, coils, thermostats, accessories, and other HVAC equipment needed for installations. Verify equipment matches job requirements, system specifications, sizing, fuel type, voltage, and application before ordering. Coordinate and order installation materials, fittings, sheet metal, accessories, and miscellaneous job supplies. Review sold jobs and installation documentation to ensure installers have the information and materials needed before arriving on-site. Schedule installation jobs and coordinate with customers, installers, sales staff, warehouse personnel, and management. Confirm equipment and materials are available prior to scheduled installation dates. Communicate with distributors and vendors regarding equipment availability, backorders, substitutions, warranty items, and delivery timelines. Assist with permits, registrations, documentation, and other installation-related administrative requirements. Monitor installation schedules and make adjustments when equipment, staffing, or customer availability changes. Maintain accurate job notes and documentation within company systems. Follow up on incomplete installations, return trips, missing equipment, or outstanding materials. Help ensure installations are completed efficiently and customers are kept informed throughout the process. Provide professional and responsive communication to customers and team members. Experience Previous experience working in the HVAC industry is strongly preferred. Experience coordinating residential HVAC installations is preferred. Experience ordering residential HVAC equipment and materials is required. Strong understanding of furnaces, air conditioners, heat pumps, evaporator coils, thermostats, indoor air quality products, and common HVAC accessories. Ability to understand HVAC model numbers, equipment matchups, system configurations, and installation requirements. Strong organizational and scheduling skills. Ability to manage multiple installation jobs and priorities at the same time. Comfortable communicating with HVAC distributors, technicians, installers, salespeople, and customers. Strong attention to detail and problem-solving abilities. Experience using ServiceTitan or similar HVAC/service management software is a plus. Required Qualifications High school diploma or equivalent. Previous HVAC industry experience. Experience ordering HVAC equipment. Strong computer and administrative skills. Excellent written and verbal communication skills. Strong organizational skills and attention to detail. Ability to work independently while coordinating with multiple departments. Professional appearance and excellent customer service skills. Ability to pass a drug screen and background check upon job offer.
