If you're an organized, detail-oriented professional who thrives in a fast-paced aviation maintenance environment, The Blackhawk Group is seeking a Maintenance Administrator to join our team in Glendale, AZ . As the Maintenance Administrator, you'll serve as the administrative backbone of our maintenance operation, supporting technicians, customers, and leadership by managing maintenance documentation, creating work orders and customer quotes, processing invoices and warranty claims, and ensuring operational records remain accurate and compliant. Your work directly supports efficient aircraft maintenance operations and an exceptional customer experience. What You'll Do Create customer quotes and maintenance work orders for scheduled and unscheduled aircraft maintenance Maintain accurate work order data, maintenance status updates, and operational records within company systems Process customer invoices and assist with maintenance billing activities Submit, monitor, and reconcile manufacturer warranty claims Prepare, organize, and maintain maintenance documentation and customer records Coordinate electronic filing, document retention, and administrative recordkeeping Prepare reports, spreadsheets, correspondence, and other operational documentation Serve as the first point of contact for incoming customer calls and maintenance inquiries Welcome customers and visitors while providing exceptional customer service Support maintenance leadership with scheduling, reporting, and administrative projects Assist technicians and other departments by coordinating administrative processes that keep maintenance operations running efficiently Perform other duties as assigned What You Bring to the Table Required Qualifications & Skills Excellent organizational skills with exceptional attention to detail Strong verbal and written communication skills Ability to prioritize multiple projects in a fast-paced maintenance environment Proficiency in Microsoft Office Suite Experience with data entry and administrative recordkeeping Strong customer service and interpersonal skills Excellent problem-solving and critical thinking abilities Ability to maintain accuracy while working under deadlines Professionalism and discretion when handling confidential information Preferred Qualifications Previous experience supporting an aircraft maintenance organization, MRO, manufacturing, or technical operations Experience with work order management or ERP software Aviation industry experience preferred Experience processing customer billing, invoicing, or warranty claims
