MAINTENANCE OPERATIONS SUPERVISOR
Rate of Pay:
$80,000 per year Position Overview We are seeking an experienced Maintenance Operations Supervisor to oversee the daily dispatch, supervision, productivity, and work quality of our in-house maintenance team. This is not a traditional administrative coordinator position. The Maintenance Operations Supervisor will be an office-based supervisor responsible for directing more than 20 field technicians, monitoring work throughout the day, reviewing completed assignments, and holding employees accountable for productivity and quality. This position is particularly well suited for someone with extensive hands-on experience in apartment maintenance, construction, or the skilled trades who is ready to transition away from primarily performing physical work and into supervising and directing others. This is a newly created position with significant opportunity to help develop the systems, processes, reporting, and accountability structure of the maintenance department. Key Responsibilities
  • Review incoming maintenance work orders and assign them to the appropriate technicians.
  • Manage and adjust technician schedules throughout the day based on workload, emergencies, access issues, job duration, and changing priorities.
  • Dispatch technicians to emergency maintenance situations as needed.
  • Maintain visibility into where technicians are working, what they are working on, and whether work is progressing at an appropriate pace.
  • Reassign technicians and issue additional work as assignments are completed or priorities change.
  • Identify situations in which labor hours, job duration, productivity, or expenses appear unreasonable and address them directly.
  • Review completed work orders for: ○ Labor hours ○ Materials and purchases ○ Receipts and expenses ○ Technician notes ○ Photographs and supporting documentation ○ Quality and completeness ○ Appropriate diagnosis and repair ○ Required follow-up work
  • Reject incomplete or inadequate work and direct technicians to return to the property when correction or completion is necessary.
  • Review maintenance-related purchases for reasonableness and identify excessive, unnecessary, or unauthorized spending.
  • Help develop material-approval procedures and purchasing controls.
  • Prepare reports for management regarding technician productivity, open and aging work orders, labor utilization, expenses, recurring problems, and other maintenance metrics.
  • Identify inefficiencies and recommend changes to improve maintenance operations.
  • Coordinate with property managers and building managers regarding access, maintenance issues, scheduling, and operational concerns.
  • Communicate with residents when necessary, although resident communication is not the primary responsibility of this position.
  • Visit properties when an issue requires in-person inspection, review, or verification.
  • Help develop and improve the department's scheduling, dispatching, reporting, purchasing, and accountability systems.
Supervisory Responsibilities This position directly supervises more than 20 maintenance technicians and is responsible for their daily assignments, productivity, work quality, and performance.
Responsibilities include:
  • Assigning and prioritizing work based on urgency, technician skills, location, and workload.
  • Monitoring technician progress and adjusting assignments as priorities change.
  • Setting clear expectations for job duration, workmanship, documentation, and follow-up.
  • Reviewing labor hours, materials, receipts, notes, photographs, and completed work for accuracy, quality, and reasonableness.
  • Requiring technicians to correct incomplete, inadequate, or improperly documented work.
  • Coaching and training employees and addressing attendance, productivity, safety, conduct, and performance concerns.
  • Participating in hiring, evaluations, corrective action, and other personnel decisions in coordination with management and Human Resources.
  • Maintaining consistent standards and promptly escalating serious staffing, safety, or performance issues. Required Qualifications
  • Significant hands-on experience in multifamily apartment maintenance or construction.
  • Prior multifamily or apartment-industry experience.
  • Strong working knowledge of common apartment maintenance problems, repairs, materials, and building systems.
  • Ability to understand plumbing, electrical, HVAC, carpentry, drywall, painting, appliance, and general building-maintenance terminology and repairs.
  • Practical understanding of how long common maintenance and construction tasks should reasonably take.
  • Previous experience supervising maintenance workers, tradespeople, construction crews, or similar field employees.
  • Ability and willingness to manage employee performance directly and hold technicians accountable.
  • Strong judgment and confidence when challenging unreasonable labor hours, poor workmanship, incomplete work, excessive spending, or inefficient practices.
  • Strong computer skills and the ability to learn maintenance-management, scheduling, and reporting software.
  • Ability to analyze operational information, identify trends, prepare reports, and clearly communicate findings to management.
  • Strong organizational skills and the ability to manage numerous simultaneous work orders and changing priorities.
  • Ability to remain decisive, organized, and effective during emergencies and high-volume maintenance periods.
  • Ability to communicate effectively in Spanish is strongly preferred and important to success in this position because many members of the maintenance team primarily communicate in Spanish. An exception may be made for an otherwise exceptional candidate. Preferred Background Strong candidates may have previously worked as a:

  • Building Engineer or Senior Building Engineer A candidate with approximately 10-15 or more years of broad field experience who is ready to transition from physically performing repairs to supervising and directing technicians would be particularly well suited for this position.
Technology and Reporting The Company currently uses AppFolio for property and maintenance management. Prior AppFolio experience is helpful but not required. The Company is also open to implementing additional scheduling, dispatching, reporting, and productivity tools when appropriate. Strong reporting skills are important. The Maintenance Operations Supervisor must be comfortable turning operational information into clear and useful management reports. Familiarity with artificial intelligence tools and an interest in using technology to improve scheduling, reporting, communication, and maintenance operations are significant advantages. Work Environment
  • Full-time position.
  • Primarily an in-office role.
  • Limited property visits will be required when necessary.
  • The position primarily supervises and coordinates in-house maintenance employees rather than outside vendors.
  • Some emergency or after-hours involvement may be required as the position develops.

The right person should be able to review a work order, understand what the repair should involve, estimate how long it should reasonably take, evaluate the materials purchased, and determine whether the technician's explanation and completed work make sense. This position requires someone who is decisive, accountable, and comfortable managing field employees. The successful candidate must be willing to give direction, enforce expectations, challenge poor performance, and solve problems.
