Maintain service orders, work orders, preventive maintenance assignments, asset records, departmental files, and other Facilities databases and documentation. Develop and maintain reports, SOPs, training guides, schedules, and other departmental resources. Coordinate training, certifications, inspections, licensing, and regulatory documentation. Support departmental meetings, schedules, communications, and other administrative activities. Project & Capital Project Coordination Coordinate Facilities projects and capital projects from initial planning through completion, including schedules, documentation, purchasing, materials, vendors, and project communications. Track project milestones, deadlines, deliverables, purchases, expenses, maintenance requirements, and other project activities. Coordinate meetings, site visits, deliveries, and communication with internal departments, end users, vendors, and contractors. Maintain project records and provide updates regarding project status, issues, delays, resources, and completion. Support the evaluation and documentation of project outcomes, savings, and efficiencies. Purchasing, Vendors & Inventory Coordinate purchasing activities, including quotes, purchase requests, purchase orders, deliveries, invoices, and expense tracking. Order and track materials, supplies, tools, parts, and FF&E while maintaining appropriate inventory levels and records. Assist with parts sourcing, tool crib management, asset management, and inventory controls. Coordinate vendors and contractors, including scheduling, contract administration, deliveries, site visits, and fulfillment of services. Maintain vendor, contract, purchasing, and related departmental records. Budget, Compliance & Departmental Support Assist with annual budget preparation, capital project budgeting, financial tracking, invoice processing, and reconciliation of departmental expenses. Maintain documentation related to inspections and certifications for equipment and facilities, including boilers, chillers, elevators, pools, and spas. Support regulatory compliance, green initiatives, rebates, and other departmental programs. Communicate professionally with Team Members, Guests, vendors, contractors, and other stakeholders while maintaining confidentiality and providing superior service. Perform other duties as assigned.

High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration, Facilities Management, Project Management, or a related field preferred. Three years of administrative, project coordination, facilities, hospitality, construction, purchasing, or related experience preferred. Experience coordinating projects, purchasing, inventory, vendors, contractors, budgets, and departmental administrative functions preferred. Knowledge of Facilities operations, maintenance activities, inventory management, purchasing processes, project coordination, and vendor/contractor management preferred. Experience in gaming, hospitality, facilities, construction, or a related environment desirable. Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Access, and Outlook; experience with Microsoft Project or similar project management software preferred. Ability to learn and effectively use Facilities databases, work order/CMMS systems, asset management systems, and other departmental software. Strong organizational and time-management skills with the ability to prioritize multiple projects, tasks, deadlines, and competing priorities. Strong attention to detail and ability to maintain accurate records, documentation, reports, and financial information. Ability to coordinate schedules, purchasing activities, inventory, preventive maintenance assignments, vendors, contractors, and project deliverables. Ability to communicate effectively and professionally with Team Members, Guests, vendors, contractors, and leadership. Ability to identify and communicate issues, delays, resource needs, and other project or operational concerns. Ability to work independently while also collaborating effectively with cross-functional teams and building consensus when appropriate. Ability to maintain confidentiality and handle sensitive departmental, financial, vendor, and Team Member information professionally. Ability to provide superior Guest service and maintain professional relationships with internal and external stakeholders. Ability to understand and follow applicable regulatory, safety, compliance, and departmental requirements. Valid driver's license and ability to obtain and maintain a Colorado gaming license as required.
STARTING SALARY
$68,000 to $75,000 annually, based on experience
