Job Description
Position Summary The Service Advisor / Office Manager is the primary point of contact for customers and plays a key role in ensuring the smooth day-to-day operation of the repair shop. This position combines exceptional customer service, sales, scheduling, administrative support, and office management to provide a positive customer experience while supporting technicians and business operations. Essential Responsibilities Customer Service Greet customers in a friendly, professional manner. Answer incoming phone calls, emails, and text messages promptly. Schedule appointments and manage the daily shop calendar. Listen to customer concerns and accurately document vehicle symptoms. Provide updates on repair status and estimated completion times. Handle customer questions and resolve concerns with professionalism. Service Advising Prepare accurate repair orders and vehicle estimates. Explain recommended repairs and maintenance in clear, understandable terms. Obtain customer authorization before work begins. Recommend preventative maintenance based on manufacturer guidelines and technician inspections. Coordinate workflow between customers and technicians. Review completed repairs with customers and explain invoices. Office Management Process invoices and customer payments. Maintain accurate customer and vehicle records. Assist with accounts payable and accounts receivable. Organize and maintain digital and paper files. Shop Operations Help maintain an efficient daily workflow. Communicate with parts suppliers regarding pricing and availability. Track repair progress and ensure timely completion. Coordinate vehicle pick-up, drop-off, and shuttle services when available. Maintain a clean, organized, and welcoming front office. Qualifications Previous experience in customer service; automotive service advising experience preferred. Strong communication and interpersonal skills. Excellent organizational and multitasking abilities. Basic understanding of automotive maintenance and repairs. Proficiency with computer software, including shop management systems and Microsoft Office. Ability to work independently and as part of a team. Professional appearance and positive attitude. Preferred Skills Experience with automotive shop management software. Sales and customer relationship skills. Strong attention to detail. Ability to prioritize multiple tasks in a fast-paced environment. Physical Requirements Ability to sit, stand, and walk throughout the workday. Ability to occasionally lift up to 25 pounds. Comfortable working in an office connected to an active automotive repair facility.
