Job Title:
Maintenance Operations Coordinator Job Description The Maintenance Operations Coordinator provides comprehensive administrative, reporting, and coordination support to the maintenance organization within a fast-paced manufacturing environment. This position serves as a central point of contact between maintenance, operations, contractors, and leadership teams, ensuring effective communication, accurate recordkeeping, compliance tracking, and maintenance planning support. By maintaining maintenance data, generating KPI reports, coordinating contractor activities, supporting apprenticeship programs, and assisting with work order management, this role helps improve equipment reliability and reduce downtime across the facility. Responsibilities Maintain and update preventive maintenance (PM) records and documentation to ensure accurate, current, and audit-ready information. Generate maintenance KPI reports, downtime reports, scorecards, and departmental metrics to support data-driven decision-making. Create presentations, dashboards, and communication materials for maintenance leadership to clearly convey performance and initiatives. Ensure maintenance data is accurate, organized, and readily available for business decisions and compliance requirements. Maintain audit-ready documentation and well-organized maintenance records to support internal and external reviews. Manage maintenance apprenticeship programs, including training schedules, class coordination, job rotations, promotions, and performance tracking. Coordinate communication among apprentices, supervisors, trainers, and leadership to support effective development and program execution. Track apprentice development progress and maintain detailed training documentation and records. Coordinate contractor scheduling, onboarding, badging, permits, and related documentation to ensure smooth engagement of external resources. Serve as the central point of contact for contractor communication and coordination, facilitating timely and accurate information flow. Support maintenance shutdowns, capital projects, and major repair activities through detailed scheduling and administrative assistance. Provide clerical and administrative support to maintenance planners and supervisors, including documentation and data entry. Support the Computerized Maintenance Management System (CMMS) by maintaining work order data and records with a high level of accuracy. Assist with work order tracking, status updates, and reporting to improve visibility into maintenance activities and priorities. Support software applications and systems utilized within the maintenance department, including Microsoft Office tools and related platforms. Act as a dedicated liaison between maintenance, operations, engineering, and other departments to facilitate communication and issue resolution. Improve departmental responsiveness by proactively coordinating information, following up on open items, and escalating issues when necessary. Track maintenance compliance activities and ensure timely follow-up, escalation, and closure of required actions. Support initiatives focused on improving maintenance effectiveness, equipment reliability, and overall operational performance. Maintain confidential employee and business information in all documentation and communications. Why Work Here? Work Environment This role is based in a machine shop environment within a manufacturing facility, working closely with maintenance planners and the broader maintenance team. You will primarily work on first shift, Monday through Friday, from 7:30 a.m. to 3:30 p.m., with a standard 40-hour work week and potential overtime as needed. The position requires wearing jeans and steel-toe footwear each day to meet safety and dress code requirements. You will work in an area adjacent to maintenance planners, using Microsoft Office tools and maintenance systems in a setting that combines office-based administrative tasks with close proximity to shop-floor operations Job Type & Location This is a Contract position based out of Lafayette, IN. Pay and Benefits The pay range for this position is $32.00 - $32.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
