Job Description

POSITION DESCRIPTION - DIRECTOR OF BUILDING AND GROUNDS PURPOSE
To effectively and efficiently act as caretaker of the campus of First Presbyterian Church by overseeing property maintenance and coordinating with staff, volunteers, and service providers for the continued care of the building.
ACCOUNTABILITY
To the Pastor as Head of Staff and to the Personnel Committee/Session through the Properties Committee.
RESPONSIBILITIES
Building Maintenance Act as primary resource for Properties Committee and coordinating volunteers for projects as appropriate. Ensure that the building and grounds are prepared for Sunday services and special events Coordinate with committees and outside groups to ensure requirements for special events are met Act as emergency contact for building with security system and emergency maintenance orders Oversee, coordinate, and implement janitorial services by staff, volunteers, or vendor Perform daily tasks as needed to implement building utilization and security Ensure bathrooms are cleaned before service on Sundays and on Monday Ensure that the building is cleaned prior to Sunday service and special events Oversee trash/recycling removal and keep track of pickup needs as/if changes need to be made to schedule. Coordinate volunteers and be point person for building prep, sanctuary prep, and cleanup as indicated on Sunday task list. Walk through building once vacated to secure building. Collaborate with staff and church leadership and coordinate volunteers regarding setup/take down for church events and activities. Maintain weekly maintenance and log of boiler. Develop and implement and ongoing custodial and maintenance plan: Collaborate with Properties Committee to ensure that necessary work in building is seen to by volunteers, staff, or appropriate vendors. Perform sweeps of building at least weekly to identify and fix problems with security, structure, etc. Identify and complete needed repairs for minor surface, plumbing, electrical, and mechanical damages/malfunctions Determine need to involve vendors in new maintenance work. Solicit and receive bids for new building and grounds work to be done by vendors. Present recommendations to Properties Committee. Oversee vendor work and receive session authorization for payment for major projects through Properties Committee. Collaborate with Administrative Assistant and Pastor to promote, coordinate, and monitor proper facility utilization by outside groups/organizations: Assess requests of outside groups/organizations to use premises and make recommendations to Session Maintain log of complaints, problems, and solutions implemented Suggest creative uses of facilities to meet a variety of community needs and initiate facility rentals as approved by Session. Maintain communications and response to needs of renters and facility management during their leases.
Primary liaison with Connections staff:
Maintain regular communication with Connections Respond to maintenance issues as needed Complete a general long-range facility plan to guide effective decision-making by the
Properties Committee:
Assess structural weaknesses, rearrangement opportunities, etc. Recommend actions to Properties Committee Update plan annually Collaborate with Accountant on insurance claims Ensure audiovisual equipment and IT are in working order Groundskeeping Snow removal activities as needed: parking lots are plowed by vendor; will need to shovel walkways and spread salt prior to 8:30 AM weekdays and Sundays Coordinate volunteers to maintain garden areas and mow when necessary Weekly sweep of the grounds to remove trash, note issues to address, etc.
EVALUATION
Initial review at 6 months, and subsequent reviews annually by the Personnel Committee with Pastor as Head of Staff. Input from Properties Committee will be sought as well. The Personnel Committee will annually review adequacy of compensation.
Hours:
20 hours per week - 8-12 Sunday with flexibility throughout the week with as agreed upon and approved by the Pastor. Up to 5 additional flex hours for emergency calls and unexpected building needs as approved by Pastor or Properties Committee Chair. Hours are submitted every other week by Monday morning to Pastor and Accountant for approval and payment is direct deposit.
PHYSICAL REQUIREMENTS
Must be able to lift 50 pounds and perform physical tasks such as setting up tables and chairs.
