Full Job Description Summary:
The Warehouse Maintenance Administrator is responsible for coordinating and managing the maintenance, repair, and servicing of all warehouse equipment and machinery, including dock doors, dock plates, conveyors, forklifts, and other material handling systems. This role ensures that all equipment operates efficiently, minimizing downtime and maximizing productivity in the warehouse environment. The Warehouse Maintenance Administrator will also handle administrative tasks related to scheduling, tracking maintenance work, and ensuring compliance with safety and regulatory standards.
What You'll Be Doing:
Equipment Maintenance Coordination Oversee and schedule routine maintenance and repairs for warehouse equipment, including dock plates, doors, conveyors, forklifts, and other critical material handling systems. Maintain and update a detailed inventory of all equipment, including maintenance schedules and repair histories. Coordinate with internal maintenance teams, vendors, and third-party contractors to ensure timely and effective repairs. Monitor equipment performance and track maintenance activities to identify patterns or recurring issues. Preventive Maintenance Program Develop, implement, and manage a preventive maintenance program for all warehouse equipment to reduce unscheduled downtime. Ensure that all equipment receives regular inspections and maintenance according to the manufacturer's recommendations and industry standards. Documentation and Reporting Maintain accurate records of all maintenance activities, repairs, and costs. Generate and submit maintenance reports and performance metrics to management for review. Ensure compliance with safety, environmental, and regulatory standards by maintaining up-to-date documentation. Vendor and Contractor Management Source, negotiate, and manage relationships with external vendors and service providers for specialized maintenance and repairs. Coordinate external contractors to perform complex maintenance tasks, ensuring they adhere to timelines and budget constraints. Continuous Improvement Identify opportunities to improve maintenance processes, equipment longevity, and overall warehouse efficiency. Recommend and implement upgrades or modifications to equipment to improve performance and reduce downtime.
What You Need:
Education:
High school diploma or equivalent required. Associate's degree in facilities management, industrial maintenance, or related field preferred.
Experience:
3+ years of experience in equipment maintenance, facilities management, or industrial maintenance, preferably in a warehouse or distribution center environment. Experience with managing equipment maintenance schedules, vendor relationships, and inventory control.
Skills and Abilities:
Strong organizational and time-management skills. Proficient in using maintenance management software or computer systems to track maintenance activities. Knowledge of industrial equipment, material handling systems, and warehouse operations. Strong communication skills to interact with internal teams, vendors, and contractors. Ability to analyze equipment performance data and troubleshoot maintenance issues. Detail-oriented with a focus on documentation and reporting.
Certifications:
Relevant certifications in maintenance or equipment management (e.g., Certified Maintenance Manager or similar) are a plus. OSHA certifications or safety training are preferred.
Physical Demands and Work Environment:
Ability to work in a warehouse or industrial environment with exposure to noise, machinery, and varying temperatures. Some travel may be required for vendor meetings or an equipment service. Ability to work outside of regular hours, including weekends or evenings, as needed for equipment repairs or preventive maintenance. Occasionally lift and move objects up to 50 pounds (e.g., small parts or tools). Assist in positioning equipment during maintenance, as needed.
