Job Description

Job Summary The Building Superintendent reports directly to the Board of Directors and may be assisted by skilled volunteer Homeowners or Board Members as needed. The Building Superintendent is responsible for two specific functions; management of the Maintenance Department, including Preventive Maintenance, and employees; and, the development and execution of major projects to improve equipment and building longevity. This will include planning, executing, and delivering projects from conception to close out. Timing of the projects will depend on available funding. This role oversees schedule, budget, safety, quality, and stakeholder coordination to ensure projects are delivered on time and within scope while meeting all technical and contractual requirements. Project work must be coordinated with the Property Manager and the Board of Directors (BOD), especially the Treasurer. This is a highly independent leadership position for a professional capable of establishing priorities while solving operational problems. The ideal candidate is organized, mechanically inclined, and detail oriented. Job Responsibilities 1. Project Execution & Delivery (There may be multiple projects in motion at one time) Develop the Scope of Work for each project, create the "Invitation to Bid" document with two suggested contractors, and work with the Vista Towers Property Manager to send them out and evaluate the returned proposals. Review and maintain contractor's detailed project schedules, budgets, and execution plans. Track project milestones, identify risks to proper execution, and implement mitigation strategies with the contractor. Ensure compliance with contract terms, scope, and change management processes. Understand and ensure contractual compliance in aspects of the project including technical requirements. Contractor Management Coordinate with the Property Manager and the BOD. Lead project meetings, status updates, and executive reporting as required. Track changes that justify change orders, negotiate, approve, and share this information with the Property Manager and the BOD. Technical Oversight Serve as the primary technical point of contact for contractors and sub-contractors. The Property Manager is the administrative primary contact. Review engineering deliverables, construction plans, and commissioning procedures. Safety, Quality & Compliance Enforce site safety and adherence to all required codes. Monitor quality control, inspections, and documentation. Financial Management Support the Property Manager's review of invoices, change orders, and contract amendments and approval for payment. Support contractor communications, negotiations, and issue closure as required. Retain appropriate documentation to back up claims or change orders. Commissioning & Closeout Coordinate commissioning activities and system energization with the Property Manager, especially when the system directly affects the Homeowners. Ensure completion of punch lists, as-built documentation, and handover. Lead lessons learned and project closeout reviews. Require all equipment or system's manufacturer manuals, especially any that include recommended preventive maintenance and warranty information. Job Responsibilities 2. Maintenance
  • Develop and maintain a supervisory role for the Maintenance Department's employees.
  • Ensure that breakdowns are properly prioritized and that proper problem solving has been performed to target the root cause and generate a fix as quickly as possible.
  • Develop and maintain preventive maintenance schedules, including documentation of completion.
  • Ensure a lasting record for all maintenance performed by employees or by service contractors on equipment and building systems.
  • Ensure that all maintenance equipment and tools are functional and safe and that they are repaired or replaced as necessary.
  • Ensure that the Maintenance Department is orderly, clean, and safe.
  • Ensure that the employees are properly trained.
  • Ensure the employees' work time is used effectively by ensuring that they have parts and tools needed to complete their assignments.
This may include keeping an inventory of said parts and tools. Job Requirements Bachelor degree or equivalent experience in Engineering (Civil, Mechanical, Electrical), Construction Management, or skilled trades. Direct experience in the management of projects for multiple years. Proficiency with management tools (AI, MS Windows, Outlook, Excel, PowerPoint, Word). General knowledge of software such as ProCore, MS Project, etc. Preferred Qualifications A member of skill trades on construction projects. Prior use of Preventive Maintenance procedures. Familiarity with pricing, purchasing, and preparation of purchase orders for materials and equipment. Ability to read and understand technical drawings. Work Environment/Physical Requirements Combination of office and active construction site environments at Vista Towers. Ability to work extended hours during critical project phases. Ability to work due to emergencies at Vista Towers; called in. Working in all weather conditions. Must be able to lift more than 50 lbs. May require nights or weekends based on project needs. Pre-Employment Requirements Candidates can be hired upon approval but must successfully complete a background check and drug screening immediately after hiring. This role is considered safety-sensitive and may be subject to ongoing drug testing in compliance with Vista Towers policy and/or regulatory requirements.
Pay:
$60,000.00 - $80,000.00 per year
