Job Title:
Maintenance Manager Job Description The Maintenance Manager oversees preventative maintenance, repairs, and efficiency improvements for heating and cooling systems across a large portfolio of over 100 properties. This role focuses on ensuring optimal performance of HVAC and boiler systems, managing vendor relationships, and guiding on-site staff to maintain high operational and safety standards. The position requires extensive field travel and hands-on involvement with systems, projects, and inspections. Responsibilities Schedule and maintain preventative maintenance programs for heating and cooling systems across a portfolio of more than 100 properties. Assess existing HVAC and boiler equipment for efficiency, functionality, and overall performance, and recommend improvements as needed. Obtain, review, and evaluate proposals from HVAC vendors to ensure cost-effective and high-quality services. Work with and oversee all types of heating and cooling systems, including steam, hydronic, individual units, mini-splits, and related equipment. Oversee Heat Timer systems and water meter interfaces both on-site and remotely to ensure accurate monitoring and control. Provide clear direction and technical guidance to on-site building superintendents on maintaining heating and cooling equipment. Source, qualify, and coordinate HVAC contractors to perform maintenance, repairs, and installations. Review and approve all HVAC-related invoices, ensuring accuracy and alignment with contracted work and budgets. Adjust boiler settings to maximize efficiency, comfort, and system longevity. Provide oversight for all HVAC projects, including major repairs, system upgrades, and new installations, ensuring timely and quality completion. Fill in for the Capital Expenditure (CapEx) Manager when needed, supporting planning and execution of capital projects. Ensure boiler rooms meet established standards for safety, cleanliness, and regulatory compliance. Address and clear violations identified during state and city inspections, coordinating corrective actions as required. Investigate water leaks and unusually high water bills to identify root causes and implement corrective measures. Specify and recommend appropriate water treatment and softener equipment and systems to protect and optimize HVAC and plumbing infrastructure. Ensure third-party contractors obtain all required permits and that permits are properly closed out upon project completion. Travel frequently—up to approximately 95% of the time—to visit properties, oversee work, and support on-site teams. Perform and oversee routine minor repairs on HVAC and related building systems as needed. Essential Skills At least 5 years of experience working with various HVAC and boiler systems. At least 5 years of experience with gas-fired boilers, including both steam and hydronic systems. Strong familiarity with different boiler manufacturers, low-voltage control systems, and related system components. Proven ability to troubleshoot no-heat and no-cooling issues efficiently and effectively. Experience using Heat Timer systems for monitoring and controlling heating operations. Familiarity with quality standards and health and safety requirements applicable to HVAC and boiler operations. Outstanding communication and negotiation skills for working with vendors, contractors, and internal stakeholders. Excellent organizational and time-management skills, with the ability to manage multiple properties and projects simultaneously. Demonstrated leadership abilities and a collaborative, team-oriented approach. Ability to develop and maintain positive rapport with site and office staff. Strong problem-solving skills and the ability to make sound decisions under time constraints. Proven ability to meet deadlines and follow through on commitments. Excellent written and verbal communication skills. Valid driver's license and ability to travel extensively between properties. Capability to perform routine minor repairs on HVAC and related building systems. Additional Skills & Qualifications Black Seal Low-Pressure Boiler license is a plus. Experience with property management or maintenance-related software such as Yardi is highly beneficial. Experience with Heat Timer systems beyond basic operation is an advantage. Familiarity with low-voltage control systems and advanced building controls is preferred. Comfort working in a portfolio environment with a large number of properties and diverse building systems. Ability to adapt to changing priorities and support capital expenditure initiatives when needed. Why Work Here? Work hours may require flexibility to address urgent issues, respond to no-heat or no-cooling calls, and support project timelines. The environment emphasizes safety, adherence to regulatory standards, and hands-on involvement with mechanical systems and routine repairs. Job Type & Location This is a Permanent position based out of West Caldwell, NJ. Pay And Benefits The pay range for this position is $120000.00 - $120000.00/yr.
  • 5+ years' experience working with various HVAC/Boiler systems.
  • 5+ years' experience of gas fired boilers (steam and hydronic).
  • Familiar with different manufacturers of boilers and low-voltage control systems and system components.
  • Ability to troubleshoot no heat and no cooling calls.
  • Black Seal Low-pressure boiler license is a plus.
  • Familiarity with quality standards, and health and safety requirements.
  • Outstanding communication and negotiation skills.
