A Maintenance Planner improves workforce productivity and work quality of a maintenance organization by anticipating and eliminating potential delays through planning, scheduling, and coordination of labor, parts and material, and equipment access. Reports to Maintenance Manager and maintains liaison between Operations and Maintenance. Through supervision of the Maintenance Administrator, the planner is also responsible for maintenance of records and files essential to meaningful analysis and reporting of maintenance-related matters.

Job Description

Job Overview We are seeking a highly organized and proactive Maintenance Planner to join our dynamic facilities management team. In this vital role, you will coordinate and schedule maintenance activities to ensure optimal operational efficiency. Your expertise in managing maintenance repair procedures, safety regulations, follow up and technical schematics will drive the success of our maintenance operations. Your leadership and mechanical knowledge will be instrumental in maintaining task managment and team efficiencies. Responsibilities Demonstrate the ability to prioritize tasks with professionalism, organization, and thoroughness with every work order request; ensuring work orders are completed efficiently and in a timely manner. Work as a team with the office staff to ensure overall guest and owner satisfaction. Maintain Vendor relationships in coordination with contracted work - ensure that all repairs and services are completed correctly and on schedule Identify predictive maintenance opportunities to include inspections and follow up. Responsible for creating internal maintenance schedules and maintenance workflows Plan, purchase, and receive materials for projects and daily maintenance Create yearly proactive maintenance plan and schedule Develop maintenance KPIs and reporting processes. Keyholder for keyless system and troubleshooting. Track and report key metrics such as PM completion, planned work percentage, downtime, backlog, schedule adherence, maintenance cost, emergency work, and work order aging. Ensure maintenance work is performed in accordance with company safety policies, OSHA requirements Maintains adequate inventory of spare parts and maintenance materials. Maintain detailed documentation of maintenance activities, work orders, tasks,and inspection reports using PMS and Microsoft Office tools for recordkeeping and reporting purposes. Experience Minimum 5 years of maintenance planning experience preferred Saturday workday is required Able to prioritize and multi-task effectively and efficiently. Experience using PMS, Microsoft office suite, scheduling databases including associated work order mobile apps. Ability to work individually and in a team environment, dealing with different personalities in a professional manner.
