Job Description

Job Summary Manasota Office Supplies is seeking an organized, dependable, and customer-focused Office Furniture Operations Coordinator. This is primarily a customer-facing operations and project-coordination position with light sales responsibilities. The employee will help manage commercial office-furniture projects from the initial customer inquiry through estimating, ordering, delivery, installation, punch lists, and final completion. The position serves as the central connection between customers, management, manufacturers, installers, and the warehouse. The primary objective is to keep every order and project organized, accurate, moving forward, and properly communicated. This is not a straight sales position. However, the employee will respond to incoming opportunities, prepare routine estimates, follow up with customers, ask for the order, and have opportunities to earn commission on qualifying office-furniture sales. Commercial furniture experience is required. Must have experience with Giza 2020 and specifying commercial office furniture. Looking for an intelligent and motivated candidate who demonstrates strong organization, communication, follow-through, and attention to detail. Primary Responsibilities Project and Order Coordination Coordinate office-furniture projects from initial inquiry through final completion Maintain accurate project timelines, task lists, deadlines, and next steps Ensure every active order or project has a clearly documented status Coordinate with customers, manufacturers, installers, delivery teams, and management Identify potential delays, discrepancies, or problems before they disrupt a project Follow through until all products have been delivered, installed, and accepted Maintain an accurate list of incomplete items and ensure each item is resolved Escalate significant pricing, product, scheduling, or customer concerns promptly Customer Communication and Account Support Serve as a primary point of contact for routine customer questions and project updates Respond promptly and professionally by telephone and email Gather information about the customer's furniture, layout, delivery, and installation needs Schedule appointments, site visits, deliveries, and installations Keep customers informed about order status, lead times, scheduling, and project issues Maintain professional relationships with existing customers Identify opportunities for repeat business and additional furniture needs Ensure customers receive consistent follow-up throughout the project Estimates and Sales Support Assist customers with routine product, finish, and configuration selections Obtain and review manufacturer or vendor pricing Prepare accurate estimates and customer-facing proposals Account for freight, delivery, installation, and other project costs Confirm product availability and anticipated lead times Revise estimates accurately when customers request changes Follow up on open estimates and proposals Ask customers for the order and establish a clear next step Support management with larger or more complicated furniture opportunities Earn commission on qualifying sales in accordance with the company's written commission program Sales Orders Convert approved proposals into accurate sales orders Verify part numbers, descriptions, quantities, finishes, pricing, addresses, and customer information Confirm deposits, approvals, drawings, and supporting documentation before products are ordered Ensure that sales orders agree with the approved estimate and furniture layout Maintain accurate order statuses in the company ERP Review all order information carefully to prevent costly mistakes Purchase Orders and Vendor Coordination Prepare and submit accurate purchase orders to manufacturers and vendors Review factory acknowledgments against purchase orders, sales orders, estimates, and drawings Confirm pricing, quantities, finishes, lead times, shipping information, and special instructions Identify and resolve discrepancies before products enter production Track production status, backorders, substitutions, shortages, and order changes Maintain communication with vendors until the complete order is received Document important vendor communications and commitments Delivery and Installation Coordination Coordinate product arrival with delivery and installation schedules Confirm that the order is complete before scheduling installation whenever possible Verify customer addresses, contacts, site requirements, access conditions, and scheduling details Prepare the drawings, paperwork, product lists, and special instructions required by the field team Communicate the project scope to delivery and installation personnel Help resolve field questions and unexpected project conditions Document incomplete, damaged, missing, or incorrect products for follow-up Product Problems and Replacement Requests Investigate damaged, defective, missing, or incorrectly supplied products Collect photographs, part numbers, order documents, and supporting information Submit replacement requests, warranty claims, or freight claims Maintain organized documentation for every unresolved issue Follow up with manufacturers until replacement products are received Coordinate the final delivery or installation of replacement items Keep the customer informed until the issue is completely resolved ERP Management Enter and maintain customers, opportunities, estimates, sales orders, and purchase orders Document customer calls, emails, meetings, decisions, and project updates Maintain accurate opportunity stages, deadlines, and follow-up dates Ensure every open customer and project has a documented next action Keep product, vendor, and order information accurate Maintain records that another team member can understand and continue if necessary Assist with reasonable ERP data corrections and process improvements related to daily operations Furniture Layout and Site Support Learn to create and revise basic office-furniture layouts using GIZA or similar software Assist with measuring customer spaces and documenting site conditions Confirm that proposed furniture fits the available space Ensure layouts correspond with estimates, sales orders, and purchase orders Coordinate complex space-planning requirements with management or another design resource Light Direct Sales Responsibilities Sales is part of this position, but it is not the position's primary focus.
Responsibilities may include:
Responding to incoming office-furniture leads Qualifying potential customers and gathering project requirements Following up on open estimates Asking customers for the order Developing additional business from existing customers Identifying upcoming expansions, relocations, renovations, or replacement needs Conducting limited outbound prospecting when operational responsibilities are current Recording all sales and follow-up activity in the ERP Qualifications GIZA 2020, AutoCAD, or similar layout software Specifying commercial office furniture Strong organizational and time-management skills Excellent attention to detail Strong verbal and written communication Professional and comfortable communicating with customers Consistent follow-through on commitments, deadlines, and unresolved issues Ability to manage multiple customers, orders, and projects simultaneously Comfortable learning products, pricing, and new software Able to work independently while coordinating with a small team Sound judgment regarding when a problem should be escalated Dependable attendance and punctuality Valid driver's license and an acceptable driving record Comfortable visiting customer locations and measuring commercial spaces Willingness to learn commercial office furniture and space-planning concepts Preferred Experience Experience in one or more of the following areas is helpful but not required: Project coordination GIZA 2020, AutoCAD, or similar layout software Account coordination or customer-service operations Commercial office furniture Commercial interiors or construction Estimating and proposal preparation Sales-order or purchase-order management ERP or order-management software Salesforce or another CRM Manufacturer and vendor coordination Delivery or installation scheduling Receiving, inventory, or order verification Ideal Candidate The ideal candidate is a strong follow-through person who enjoys keeping customers, orders, and projects organized. This individual does not allow an unanswered customer inquiry, unresolved order discrepancy, missed follow-up, or incomplete project item to be forgotten. They are comfortable communicating with customers while also managing the detailed administrative and operational work required behind the scenes. Commercial furniture knowledge can be taught. Dependability, initiative, judgment, communication, organization, and attention to detail are essential. Occasional Support Responsibilities Because Manasota Office Supplies is a locally operated small business, the employee may occasionally assist with: Organizing samples Verifying inventory Preparing products for a project Local pickups or small deliveries Project photography Other reasonable office-furniture operational needs These are supporting duties and are not the primary purpose of the position. The role is not intended to serve as a moving, installation, marketing, or general warehouse position.
