Full Job Description Position Overview:
We are seeking a detail-oriented and motivated individual to join our team as an Entry-Level Document Scanning and Copying Specialist. In this role, you will be responsible for scanning, copying, and organizing documents for our clients, ensuring the highest level of accuracy, confidentiality, and efficiency in our services. Experience as a Trial Hot Seat Operator is a plus and will be compensated separately, in addition to the agreed-upon 1099 contract rate. Hot Seat responsibilities may include managing digital exhibits, operating presentation software in court, coordinating with legal teams during trial, and ensuring seamless display of evidence.
Key Responsibilities:
Use scanning equipment to convert paper documents into digital files following established procedures and quality standards. Operate photocopiers and duplicating machines to make copies of paper documents as needed. Review scanned and copied documents for accuracy and completeness. Enter relevant metadata and information associated with scanned documents into our document management system. Properly label, categorize, and file scanned and copied documents to facilitate easy retrieval. Maintain strict confidentiality and security of sensitive documents and client information. Communicate with clients to clarify requirements, address inquiries, and provide updates on project status as necessary. Collaborate with team members to ensure workflow efficiency and assist in completing projects on time.
Qualifications:
High school diploma or equivalent. Basic computer skills and familiarity with office software (e.g., Microsoft Office, Adobe Acrobat). Strong attention to detail and organizational skills. Ability to follow instructions and work independently when necessary. Excellent time management and multitasking abilities. Strong communication skills and a customer service-oriented approach. Ability to drive a car and possess a valid driver's license for pickups and deliveries. Ability to lift and move boxes of documents (up to 30 lbs). Prior experience in document management or a related field is a plus but not required.
