Job Description

Job Overview We are seeking an organized, reliable Office & HR Manager to lead daily administrative and personnel operations at our 25-person manufacturing facility. This dual-function role acts as the central hub of our facility. You will directly manage day-to-day office logistics and full bookkeeping in QuickBooks, while serving as the primary HR point of contact for our production and administrative teams. The ideal candidate enjoys a versatile role, balancing financial precision with a supportive, people-focused approach.
Key Responsibilities Talent acquisition:
Post open job ads, screen resumes, and coordinate interviews for both shop floor and administrative positions. Onboarding & offboarding: Conduct new-hire orientations, process background checks, manage employee files, and administer exit paperwork. Benefits & compliance: Administer company benefits programs, track PTO/sick leave, and ensure compliance with federal and state labor laws.
Employee relations:
Act as the primary, trusted point of contact for employee questions, grievances, and policy clarifications. Financial Administration (QuickBooks) Payroll processing: Collect daily timesheets from production staff, verify overtime, and run payroll accurately using Paychex.
Accounts Payable/Receivable:
Process incoming vendor invoices, match purchase orders, issue payments, bill clients, and monitor collections.
Account reconciliation:
Perform basic monthly bank and credit card reconciliations to support the company's external accountant. Office & Plant Floor Support Daily operations: Manage incoming mail, answer phones, place purchase orders for all items not considered direct material, and maintain organized digital and physical files.
Safety tracking:
Help track safety training schedules and maintain documentation for OSHA compliance and incident reporting.
Vendor management:
Serve as the primary contact for facility vendors, including IT support, cleaning crews, and maintenance teams.
Qualifications and Skills Required Experience & Education Experience:
3+ years of experience in a combined Office Manager/HR role, ideally within a manufacturing, distribution, or small-business environment.
Education:
High school diploma required; a degree or certificate in HR Management or Business Administration is a strong asset.
Technical Skills QuickBooks:
Proven, hands-on experience running invoicing, and billing within QuickBooks.
Software proficiency:
Comfortable using Microsoft Excel for tracking logs and Word for updating company policies.
Soft Skills & Physical Requirements Discretion:
High integrity and absolute confidentiality regarding employee records and company financial data.
Communication:
Approachable, clear communicator who connects well with both shop floor technicians and leadership.
Environment:
Comfortable working in an office attached to an active production plant, including frequent walks onto the floor.
Pay:
$45,000.00 - $70,000.00 per year
