Qualifications:
3-5+ years of Production Coordination or Sales Support experience (within a manufacturing environment) Strong Excel skills, including pivot tables, VLOOKUP/HLOOKUP, index match, COUNTIFS, and VBA/macros experience. Ability to work with financial data and numbers. Strong interpersonal and communication skills. GED or HS Diploma minimum required. Work Environment This is a primarily onsite role within a manufacturing setting, involving both office-based work and time spent on the production floor. The company operates in a fast-paced environment with cross-functional collaboration and regular production meetings. The role requires engagement with both office functions and on-the-floor operations, providing a dynamic work experience that blends analysis with real-time operational involvement. Full-time work schedule from Monday through Friday, 8 am to 4:30 pm. Job Description This position provides administrative and coordination support for production programs, sales, and customer service within the Point of Purchase (POP) displays and fixtures department. The role is essential in managing job setups, coordinating production schedules, and facilitating seamless communication with customers and internal teams. Responsibilities Manage job setup by verifying material availability and coordinating with project managers to maintain job accuracy. Review and distribute production, shipment, and work schedules, and confer with department supervisors to determine work progress and completion dates. Coordinate with project managers on the job-closing process and collaborate with Quality Control to ensure all data entries are accurate and complete. Prepare subcontractor packing slips to ensure precise documentation and tracking of all outgoing shipments. Monitor daily production labor and audit reported hours within the system to maintain high data accuracy. Update and distribute the Production Action item sheet to the team prior to weekly meetings to facilitate informed decision-making. Coordinate truck deliveries as requested and provide consistent, real-time status updates to the project team. Support diverse projects from initiation through completion, ensuring all milestones and quality standards are strictly met. Perform quarterly and annual inventory cycle counts for materials and finished goods to ensure and improve system data accuracy. Provide sales support by responding to information requests and facilitating communication through websites, emails, and meeting coordination. Work with outside sales to develop and maintain a sales, lead, tracking, and calendaring system. Review, coordinate, and track the completion, inspection, shipment, delivery, acceptance, and closure of products and jobs on the system. Interact with customers, process information, and provide them with the required data for the best results. Confer with establishment personnel, customers, and vendors to coordinate production and shipment activities, eliminate delays, and resolve complaints. Ensure existing contract orders are updated and administered. Administer and maintain customer inventory agreements. Work closely with internal teams to solve problems and respond to customer requests and questions. Job Type & Location This is a Permanent position based out of Joliet, IL. Pay and Benefits The pay range for this position is $24.03 - $28.84/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
