About the role The Iced Coffee Hour is looking for a full-time, in-person Operations Assistant in Las Vegas. We're looking for someone who is highly organized, resourceful, fast-moving, and takes ownership of things without needing to be constantly reminded. You do not need extensive experience in podcasting or media. We care much more about your ability to learn quickly, solve problems, stay organized, and follow things through to completion. This is a broad role. Some days you'll be coordinating with podcast guests and managing schedules; other days you may be organizing the studio, researching potential guests, handling a return, coordinating with a vendor, or helping with basic podcast production. Responsibilities Manage guest outreach, follow-ups, scheduling, confirmations, and arrival logistics Research potential podcast guests and prepare basic guest research Maintain organized lists of prospective and confirmed guests so opportunities don't fall through the cracks Keep calendars, tasks, and outstanding projects organized and moving toward completion Help prepare the studio before shoots and reset it afterward Greet guests and make sure they have a great experience Keep the office/studio clean, organized, and stocked Coordinate vendors, repairs, deliveries, shipping, returns, and equipment pickups Assist with basic podcast production and file organization Learn simple editing tasks such as switching camera angles and preparing footage for our primary editors Help with miscellaneous projects and problems as they come up Who we're looking for The ideal person: Is extremely resourceful and likes figuring things out Notices things that need to be done without always being asked Keeps track of details and follows through Learns new software, systems, and processes quickly Works quickly without sacrificing important details Communicates clearly and professionally Is comfortable doing both administrative work and hands-on tasks Has a low ego and doesn't consider any reasonable task "beneath" them Is dependable and comfortable working independently Has reliable transportation Prior podcast, editing, or media experience is helpful but not required . We're willing to train the right person.
