The Program Manager will work directly with the Executive Director of Clinical Compliance and Quality to support program operations, regulatory compliance, resident documentation, referrals, admissions, and coordination with external agencies.
Key Responsibilities:
Work directly with the Executive Director of Clinical Compliance and Quality to support program compliance and daily operations. Conduct routine audits of resident charts and program documentation for completeness and compliance. Maintain compliance trackers, databases, spreadsheets, logs, checklists, and required program records. Track missing, incomplete, or expiring documentation and ensure timely follow-up. Serve as a primary liaison with the Department of Social Services (DSS) and other referral sources regarding routine program and resident needs. Obtain required resident records and documentation from DSS and other authorized sources and ensure client records are updated accordingly. Receive and process referrals, gather required information, and maintain referral and intake documentation. Assist with admissions and intake processing. Schedule and coordinate resident appointments and maintain related documentation and follow-up. Maintain professional working relationships and ongoing communication with DSS, referral sources, and community partners, as needed. Conduct routine facility/program compliance inspections and document findings. Support quality assurance activities, corrective-action tracking, and preparation for licensing and accreditation reviews. Prepare reports, spreadsheets, presentations, and other administrative and compliance documents as needed. Provide administrative and program support to the Executive Director and assist with assigned projects and follow-up. Escalate clinical, regulatory, or complex compliance matters to appropriate leadership.
Required Qualifications:
Minimum Associate degree required; Bachelor's degree preferred in Human Services, Social Work, Psychology, Healthcare Administration, Business Administration, or a related field. Minimum of three (3) years of relevant experience in residential services, behavioral health, child welfare, healthcare, human services, or a related field. Excellent computer skills are required. Demonstrated proficiency in Microsoft Office Suite, including Microsoft Excel, Word, PowerPoint, and Outlook. Strong proficiency in Excel spreadsheets, data entry and processing, database management, electronic recordkeeping, data tracking, and report preparation. Ability to organize, maintain, retrieve, and analyze information using electronic databases, spreadsheets, and tracking systems. Strong organizational, written and verbal communication, documentation, and follow-up skills. Ability to communicate professionally with government agencies, referral sources, families, and other stakeholders. Ability to maintain confidentiality and manage multiple deadlines and priorities. Must be dependable, highly detail-oriented, professional, and comfortable working in a compliance-focused environment.
Schedule:

Pay:
$60,295.11 - $63,000.00 per year
