Regulatory Compliance Assistant

Reports To Regulatory Compliance Supervisor Schedule Full-time, on-site, Monday-Friday; occasional flexibility may be needed for audits, customer requests, or production schedules. About Motherlode Co-Packing Motherlode Co-Packing is a growing food manufacturing and co-packing company that helps brands produce high-quality sauces, dressings, condiments, and related products. We are looking for a detail-oriented, organized, and customer-minded Regulatory Compliance Assistant to help keep our documentation, certifications, supplier records, and customer compliance work moving accurately and on time. This is a great role for someone who enjoys food manufacturing, documentation, problem solving, and working across departments. The right person will help make the Quality and Food Safety team more responsive, better organized, and easier for customers and internal teams to work with. Position Summary The Regulatory Compliance Assistant supports the Regulatory Compliance Supervisor and the Quality/Food Safety team with regulatory documentation, customer technical requests, certification support, approved supplier documentation, COA management, label documentation, and food safety system records. This role requires strong follow-through, accuracy, and the ability to manage multiple deadlines in a fast-paced manufacturing environment. What You Will Do Support customer technical requests by gathering, reviewing, and organizing documentation such as certificates, ingredient information, allergen statements, nutrition documentation, and supplier records. Maintain and organize records for third-party certifications such as SQF, kosher, non-GMO, gluten-free, vegan, organic, and customer-specific programs. Collect, review, file, and track Certificates of Analysis (COAs) for incoming ingredients and follow up on missing or incomplete documentation. Assist with the Approved Supplier Program by collecting supplier documents, tracking annual updates, and escalating gaps or expired records. Help support label and regulatory documentation review, including nutrition facts panels, ingredient statements, code date requirements, and customer labeling requirements. Assist with documentation needed for FDA, 21 CFR, SQF, customer, brand, and third-party certification expectations. Help maintain controlled documents, work instructions, forms, and records so the team is working from current and accurate information. Enter, monitor, and audit data in company systems; identify missing information, trends, and opportunities to improve response time and accuracy. Assist with internal audits and food safety system checks as assigned by the Director of Quality and Food Safety or Regulatory Compliance Supervisor. Work closely with Quality, Food Safety, Product Development, Operations, Purchasing, Warehouse, and Customer Service to keep compliance tasks moving. Participate in continuous improvement projects that reduce rework, improve response time, and make compliance processes easier to follow. What Success Looks Like Customer certification and documentation requests are answered quickly, accurately, and professionally. COAs, supplier documents, and certification records are current, organized, and easy to retrieve. The Quality and Food Safety team has fewer bottlenecks because routine documentation work is handled consistently. Internal teams know the status of requests without having to chase for updates. Processes are documented clearly enough that they can be trained, repeated, and improved. Required Qualifications High school diploma or equivalent. Strong attention to detail and ability to work accurately with documentation, spreadsheets, and deadlines. Comfortable using email, shared files, Microsoft Office or Google Workspace, and business systems for tracking work. Strong written and verbal communication skills. Ability to prioritize multiple requests, follow up without being prompted, and communicate when something is stuck. Professional, team-oriented approach with a customer-service mindset. Ability to work on-site in a food manufacturing environment. Preferred Qualifications 1+ year of experience in food manufacturing, quality assurance, regulatory compliance, document control, customer technical documentation, or a related administrative role. Experience with
SQF, HACCP, PCQI, FDA
food labeling, 21 CFR, kosher, non-GMO, gluten-free, vegan, or organic certification programs. Experience collecting or reviewing COAs, supplier documents, allergen statements, product specifications, or technical documents. Experience with ERP, document management, audit, or quality systems such as Odoo, TraceGains, SafetyCulture/iAuditor, or similar platforms. Associate degree or coursework in food science, biology, chemistry, nutrition, business, quality, or a related field. Work Environment Primarily office-based with regular interaction with production, warehouse, quality, and product development teams. May occasionally enter food production areas and must follow GMP, food safety, and personal protective equipment requirements. Must be comfortable working around active food manufacturing operations.
