Job Description
- Manage the Association's photography, video content and communication archives
- Video tape meetings and edit for distribution within 24 hours of meeting
- Administer and support Member First resident website and mobile application
- Provide technical support for staff and residents, troubleshooting computers, printers, and software applications
- Provide on-site technical support during meetings, programs and special events
- Support and maintain the digital sign-in-system (DDS), Association's website, mobile app, including public and resident-facing content
- Coordinate Zoom links for meetings, programs, and events
- Schedule and coordinate on-site technology appointments with residents
- Troubleshoot connectivity, sound, display, and streaming issues in real time
- Assist presenters, residents, staff, and guest speakers with technology needs
- Assist with special technology-related projects and system updates
- Trains residents on technology tools Communications
- Prepare and distribute e-blast communications at the direction of the supervisor and Executive Director
- Coordinate communication efforts during emergencies, weather events, and operational disruptions
- Manage and maintain the Association's GRID (daily, and weekly grid schedule), e-calendar, website, resident portal, mobile applications, digital communication and social media platforms
- Support timely and accurate digital communication to staff and residents Operations & Administration
- Manage meeting room reservations and coordinate related technology requirements
- Provide professional, responsive service to staff and residents
- Coordinate technology support with ETB Services and assist with special projects Audio Visual & Event Support
- Set up, test, and operate AV equipment including microphones, speakers, projectors, screens, video conferencing systems, and lighting
- Coordinate and manage platforms such as Zoom, Microsoft Teams, and Webex for hybrid and virtual meetings
- Conduct pre-event system checks and troubleshoot issues proactively
- Take down equipment promptly and restore spaces to standard configuration. Customer Service & Professionalism
- Provide courteous and responsive service to staff and residents
- Maintain a professional appearance and demeanor
- Communicate clearly with presenters and team members
- Remain calm and solution-oriented in high-pressure situations
Required Skills, Abilities, & Competencies:
- Proficient in Microsoft Office 365 and common productivity tools (Outlook, Word, Excel, Teams, and SharePoint)
- Experience with video creation and basic editing
- Working knowledge of website content management systems (CMS) and mobile application platforms
- Familiarity with emerging AI technologies and general technology trends; ability to leverage tools to improve efficiency and workflow
- Ability to troubleshoot basic hardware, software, audio-visual equipment, and connectivity issues
- Experience preparing, managing, and distributing electronic communications (e-blasts) using email marketing platforms
- Comfortable utilizing digital scheduling systems, electronic sign-in tools, and reservation management platforms
- Excellent verbal and written communication skills with the ability to tailor messaging to diverse audiences
- Strong customer service orientation with effective problem-solving abilities
- Exceptional organizational skills with keen attention to detail and accuracy
- Demonstrated initiative and ability to analyze issues, identify solutions, and follow through
- Ability to prioritize competing tasks, manage deadlines, and work independently with minimal supervision
Work Schedule & Physical/Work Environment Requirements:
- Work a minimum of 40 hours per week onsite: Mon., Tues., Fri., 9-5 and Weds., Thurs. 10-6
- Prolonged periods of sitting at a desk and working on a computer using a keyboard, calculator, or telephone
- Ability to lift, carry, push, or pull equipment and supplies weighing up to 50 pounds
- Ability to bend, reach, kneel, and crouch as needed to set up and troubleshoot equipment
- Manual dexterity sufficient to operate computers, phones, and audio-visual equipment
- Ability to view computer screens and read printed materials for extended periods
- Mental and visual concentration for computer usage and reading/assimilating information
- Maintain positive working relationships, communication, and collaboration with management and employees
- Maintain professional and positive relationships with residents
Education and Experience Requirements:
- Associate degree or coursework in Information Technology, Communications, or a related field preferred
- Minimum of 1-3 years of experience providing technology, administrative, or customer support in an office, hospitality, healthcare, or senior living environment
- Experience supporting websites, mobile applications, or digital communication platforms preferred
- Proven experience in video creation and basic editing
- Proven experience in IT support, help desk, or A/V event technology roles
- Familiarity with systems implementation
