A Communications or Public Relations Specialist coordinates internal and external communications for a company or organization. Provides information to employees on company activities, such as the launch of a new product or a community service initiative. Writes and edits public communications; develops media contacts and prepares material for press and media distribution; monitors media coverage. May assist with events planning.
Marketing & Newsletters o Support the development and distribution of Chamber communications, newsletters, announcements, and promotional materials. o Gather member news, community updates, announcements, and other timely information. o Coordinate with Chamber members, advertisers, and community partners to collect flyers, graphics, links, and promotional information. o Maintain consistent Chamber branding and visual standards across communications. o Assist with promotional campaigns for Chamber events, programs, and member activities. Graphic Design o Draft, design, and complete flyers and promotional materials for Chamber events and programs. o Create graphics and other branded materials for Chamber communications and marketing. o Develop layouts, select appropriate imagery, and ensure materials are clear, engaging, accurate, and consistent with Chamber branding. o Maintain and utilize Chamber branding standards across print and digital materials. Website & Social Media o Update Chamber website content, event information, graphics, and other materials as needed. o Prepare and send event and promotional collateral to the Social Media Contractor for posting. o Create social media content and supporting materials for Chamber events, member recognition, community information, and promotions. o Utilize social media best practices, including hashtags, links, cross-promotion, content creation, and audience engagement. o Capture and repurpose event photos and video for Chamber marketing and communications. Chamber Events & Event Management o Update ChamberMaster for Chamber events. o Create, draft, and program events in ChamberMaster, including event descriptions and registration information. o Add flyers, graphics, and other promotional materials to event listings. o Assist the team with planning food and beverage needs for mixers and other Chamber events. o Assist with event preparation, coordination, and on-site support as needed. o Prepare check-in materials, signage, tablescape materials, and other event supplies. o Greet and check in attendees and provide support to event hosts and guests. o Provide on-site support and capture photographs and video for post-event promotion. Program Presentations o Create and update PowerPoint presentations for Chamber programs and meetings. o Prepare PowerPoint presentations for the monthly Rise and Shine meetings as needed. o Contact speakers to request biographies, presentations, logos, photographs, and other presentation materials. o Collect, organize, and prepare materials from speakers, city/county representatives, special guests, and community partners. o Manage graphics, sponsors, event information, promotions, and last-minute presentation changes. o Ensure presentations are professional, accurate, visually appealing, and consistent with Chamber branding. Calendars & Communications o Create and maintain annual calendars for: § Chamber Events § Communications § Regional Business Meetings § BBSI Business Workshops o Coordinate calendar information and updates with Chamber staff and applicable partners. o Ensure event and meeting information is accurate and communicated in a timely manner. o Update calendars and promotional materials as schedules or event details change. Staff & Chamber Support o Attend weekly staff meetings when scheduled on the employee's normal working day. o Collaborate with Chamber staff, contractors, members, businesses, speakers, and community representatives. o Provide general administrative and communications support to the Chamber team as needed. o Assist with special projects, community activities, and other Chamber initiatives. Office Maintenance & Administrative Support o Provide receipts and supporting documentation to the Chamber bookkeeper for employee credit card purchases. o Save and organize documents to the shared drive as needed. o Help maintain a neat, organized, and professional office environment. o Contribute to general office organization and maintenance as part of the team. Physical Requirements o Ability to sit or stand for extended periods of time. o Physical agility to lift up to 20 pounds to shoulder height. o Ability to lift, carry, push, or pull objects as needed. o Ability to move throughout event and office environments as required. Position Requirements o High school diploma or equivalent. o Minimum of two (2) years of office, accounting, customer support, communications, or related experience. o Excellent computer skills, including Microsoft Word, PowerPoint, Excel, Canva, Constant Contact, and financial software. o Experience with social media platforms, including use of hashtags, links, cross-promotion, content creation, and audience engagement. o Strong organizational skills with the ability to prioritize, plan, organize, and meet deadlines. o Ability to create and submit reports and other materials accurately and on time. o Excellent verbal and written communication skills. o Ability to establish and maintain cooperative and effective working relationships with Chamber staff, office space renters, businesses, members, community partners, and the public. o Exceptional customer service skills and a professional, courteous demeanor. o Strong interpersonal skills with the ability to use tact, patience, and courtesy. o Ability to maintain confidentiality and exercise sound judgment. o Valid California driver's license and reliable transportation required. o Ability to maintain regular and reliable attendance. o A criminal background check is required for all positions.
