Job Description

Position Summary The Communications Specialist is responsible for maintaining consistent and professional communication with patients throughout their treatment at a chiropractic office specializing in patients injured in motor vehicle accidents. This position serves as a key point of contact for appointment reminders, confirmations, scheduling communications, and general patient outreach. The Communications Specialist ensures patients receive timely calls, texts, and emails regarding their appointments and treatment while providing a professional, courteous, and supportive experience. The ideal candidate is highly organized, dependable, detail-oriented, and comfortable communicating with a high volume of patients. Essential Duties and Responsibilities Patient Communication Make reminder and confirmation calls to patients regarding upcoming appointments. Send appointment reminders and confirmations through text and email. Respond to patient communications in a timely and professional manner. Follow up with patients who have missed, cancelled, or need to reschedule appointments. Contact patients who have not scheduled or have fallen behind on their recommended treatment schedule. Communicate appointment changes, office updates, and other non-clinical information to patients. Maintain professional communication with patients who may be experiencing stress or uncertainty following a motor vehicle accident. Appointment Management Confirm upcoming appointments according to established office procedures. Assist patients with scheduling and rescheduling appointments when appropriate. Monitor appointment confirmation responses and update the scheduling system accurately. Identify potential scheduling issues and communicate them to the appropriate team member. Help reduce missed appointments and gaps in patient treatment through consistent outreach. Maintain accurate documentation of all patient communication and follow-up attempts. Documentation & Administrative Support Document calls, texts, emails, and other patient communications accurately and promptly. Maintain organized communication records within the practice management system. Ensure patient contact information is current and report discrepancies for correction. Follow established workflows for communication, documentation, and escalation. Protect patient confidentiality and follow HIPAA and company privacy policies. Team Communication Communicate relevant patient scheduling or attendance concerns to the appropriate staff. Coordinate with front desk, patient coordinators, providers, and management as needed. Escalate clinical, legal, billing, or insurance questions to the appropriate department rather than providing information outside the scope of the position. Assist the office in maintaining consistent communication standards across all patient interactions. Qualifications High school diploma or equivalent required. Previous experience in a medical, chiropractic, healthcare, call center, or customer service environment preferred. Strong verbal and written communication skills. Professional and courteous telephone manner. Strong attention to detail and accuracy. Ability to manage a high volume of calls, texts, and emails efficiently. Ability to prioritize tasks and meet daily communication deadlines. Comfortable using computers, email, texting platforms, scheduling systems, and electronic records. Bilingual English/Spanish preferred. Ability to maintain patient confidentiality and handle sensitive information appropriately. Reduced missed appointments through effective communication. Timely escalation of issues to the appropriate department. Maintaining accurate patient contact and scheduling information. Following all company, HIPAA, and office communication procedures. Physical & Work Requirements Ability to sit and work at a computer for extended periods. Ability to communicate by telephone throughout the workday. Ability to work in a fast-paced office environment. Ability to handle frequent interruptions while maintaining accuracy and professionalism. Regular attendance and punctuality are essential.
Pay:
$20.00 - $25.00 per hour Expected hours: 40.0 per week
