  • 33 per hour, based on experience Wollaston Golf Club is seeking a friendly, organized, creative, and highly self-motivated individual to join our team as our Member Services & Communications Coordinator.
This is a varied, hands-on role that combines member service, reception, communications, and administrative responsibilities. The position is ideal for someone who enjoys being at the center of a busy club, takes initiative, learns quickly, and naturally thinks ahead about what needs to happen next. The Coordinator will report to the Clubhouse Manager and work closely with department heads throughout the club, including the Club Controller. This person will serve as an important communication link between departments and help ensure members receive the right information at the right time.
KEY RESPONSIBILITIES
Member Services & Reception Serve as a welcoming first point of contact for members, guests, and callers. Answer and direct phone calls and assist members with questions and requests. Make dining, event, and other club reservations. Develop a strong knowledge of the club, its membership, activities, services, and calendar. Assist members with information about golf, dining, tennis, aquatics, events, and other club activities. Maintain a professional, welcoming, and organized reception area. Club Communications Coordinate the club's overall member communications calendar in partnership with department heads and the Clubhouse Manager. Gather information from departments and help determine what needs to be communicated, when it should be communicated, and how it should be presented. Help prevent communication overload by coordinating messages across departments rather than having multiple departments independently email members. Maintain and update the club website, member app, internal and online calendars, and other member-facing platforms. Anticipate upcoming needs based on the club calendar, including dining reservation blocks, registration announcements, website updates, schedule changes, and member reminders. Create flyers, digital graphics, signage, announcements, and other communications materials using Canva or other preferred design software. Assist with photography and content creation for club communications. Ensure communications are accurate, timely, professional, and consistent with the club's standards and voice. Administrative & Accounting Support Assist the Club Controller with routine accounting and financial administrative duties, including invoice entry, check preparation and mailing, recording payments, maintaining aging and overdue reports, member billing and account charges, and other basic accounting tasks as needed. Complete daily tee sheet and F&B reconciliations. Assist in maintaining accurate member and vendor files. Assist with spreadsheets and presentations related to club business using Excel and PowerPoint. Maintain phone system information, including hold music, directory recordings, and other updates. Provide administrative support to other departments as needed.
ADDITIONAL SUPPORT AS NEEDED
Assist with seasonal clubhouse decorating and special club projects. Assist with the creation of training and instructional videos for staff. Assist with the club's social media presence, if the club continues its social media program. Assist with the promotion and execution of club events and activities as needed.
WE'RE LOOKING FOR SOMEONE WHO
Is proactive, independent, and naturally thinks ahead. Is comfortable taking initiative and learning new things independently. Has a warm, helpful, service-oriented personality and enjoys interacting with members. Is comfortable answering the phone and communicating with people throughout the club. Is highly organized and able to manage multiple priorities. Has strong written communication skills and excellent attention to detail. Has experience with graphic design and member communications, using Canva or similar platforms. Has an eye for good design and visual presentation. Is comfortable learning new technology and software systems. Has experience creating and editing video content or is comfortable learning video production and editing tools. Can work independently while also collaborating with multiple departments. Is flexible and willing to jump in and help wherever needed. Maintains professionalism and discretion when handling member information and club business. Takes pride in the details and wants to contribute to the overall success of the club.
EXPERIENCE
Experience in a private club, hospitality, restaurant, hotel, event, communications, marketing, or customer service environment is preferred. The ideal candidate will also have experience with website management, email communications, graphic design, Microsoft Office, and member management software. Experience with Clubessential is a plus. Experience creating or editing basic video content is also a plus. We are willing to train the right person on our specific systems.

The right person will see that an event is coming up and think about what needs to happen next. They will notice when the website needs updating, when reservations need to be blocked, when an announcement should go out, or when another department could use some help, and take action. Compensation:
$30
  • 35 per hour, commensurate with experience.
Holiday bonus and potential year-end bonus.

Anticipated start date:
October 1, 2026. The successful candidate will have the opportunity to work alongside our longtime receptionist during a transition period prior to her retirement in October, providing valuable hands-on training in the club's systems, membership, reservations, calendar, and daily operations.
