Come help us change lives—one call at a time. Peak ENT Associates is a leading medical practice specializing in Ear, Nose, and Throat (ENT) care. Our dedicated team of healthcare professionals is committed to providing top-quality patient care, including diagnostic evaluations, medical treatments, and surgical interventions. We are currently seeking a Telephone Scheduling Assistant to join our team and help ensure efficient and patient-focused appointment scheduling.
Job Summary:
As a Scheduler at Peak ENT Associates, you will play a vital role in ensuring that our patients receive prompt and effective scheduling services. You will be the first point of contact for patients seeking appointments and will be responsible for managing their scheduling requests with professionalism and efficiency. Your attention to detail, exceptional communication skills, and commitment to patient satisfaction will contribute to our mission of providing excellent ENT care. Must be able to work hours between 7am - 7pm. This position is also moving to a fully remote position in the coming months. Training will be in person in our Provo office.
Key Responsibilities:
Answer incoming calls from patients in a courteous and professional manner. Greet callers warmly and identify their needs promptly. Schedule, reschedule, and confirm patient appointments using our scheduling software. Accurately gather and verify patient information, including personal details and insurance information. Provide patients with essential information regarding appointment preparation and any necessary documentation. Ensure email, text, and voicemail communications are answered before day end. Manage incoming patient referrals within 1-2 business days. Address patient inquiries, concerns, and requests with empathy and knowledge. Collaborate with medical staff and administrative team to optimize appointment scheduling and availability. Maintain patient confidentiality and adhere to HIPAA guidelines when handling sensitive information. Assist in maintaining an organized and efficient scheduling system. Document patient interactions and scheduling details accurately in the electronic health record (EHR) system. Follow up on missed appointments and reschedule as necessary. Assist in managing the office's appointment calendar to ensure effective time management. Participate in ongoing training and development to stay current on medical office procedures and guidelines. Perform other administrative duties as assigned by the office manager or supervisor.
Qualifications:
High school diploma or equivalent; additional education or relevant certifications is a plus. Previous experience in a medical office or call center environment is preferred but not required. Proficiency in using scheduling software and electronic health record (EHR) systems is advantageous. Excellent verbal and written communication skills. Strong interpersonal skills and a friendly, empathetic demeanor. Exceptional organizational and multitasking abilities. Attention to detail and accuracy when handling patient information. Knowledge of HIPAA regulations and commitment to maintaining patient privacy. Ability to work effectively in a fast-paced healthcare environment. Reliable and punctual with a strong work ethic. Willingness to learn and adapt to changing office procedures and technologies. Commitment to providing outstanding patient service and fostering a positive patient experience.
