Job Description

Position Summary The Office Assistant provides administrative and operational support to ensure the smooth day-to-day functioning of the office. This role is responsible for maintaining documentation, monitoring inventory, assisting with purchasing activities, and supporting production, logistics, and inventory processes.
Key Responsibilities:
Maintain and organize Certificates of Analysis (COAs), Certificates of Conformance (COCs), Kosher Certifications, product specifications, Safety Data Sheets (SDS), and production documentation. Maintain an accurate registry and inventory of packaging materials. Work closely with the Production and Logistics teams to monitor inventory levels of ingredients and chemicals. Create and process Purchase Orders (POs) and customer invoices accurately and in a timely manner. Assist with mid-year and year-end physical inventory counts and reconciliation. Process incoming mail and coordinate outgoing shipments through USPS, UPS, FedEx, and other carriers. Organize and maintain filing systems, both electronic and paper. Provide general administrative support to various departments as needed. Perform other office and administrative duties assigned by management. Qualifications High school diploma or equivalent required; Associate's degree is a plus. Previous experience in an office administrative or office assistant role preferred. Proficient in Microsoft Office Suite (Word, Excel, Outlook). Strong organizational and time management skills. Excellent attention to detail and accuracy. Ability to prioritize multiple tasks and meet deadlines. Strong verbal and written communication skills. Ability to work independently and collaboratively in a fast-paced environment. Preferred Skills Experience working in a manufacturing or food production environment. Familiarity with inventory management and purchasing processes. Experience handling documentation related to quality assurance or regulatory compliance is a plus.
Pay:
$17.75 - $19.00 per hour
