About Arjay's Window Fashions Arjay's Window Fashions is a growing division of Window Products Management, Inc., with locations in Chandler, Arizona and Camarillo, California. Since 2002, we have built a reputation for delivering premium shades, blinds, shutters, draperies, awnings, and advanced motorization solutions. As an authorized dealer for major national retailers, we are committed to exceptional customer service, quality craftsmanship, innovation, and continuous improvement. We are seeking a highly organized, detail-oriented, and customer-focused Administrative Operations & CRM Coordinator to support our daily operations and help drive the next phase of our growth. Position Overview This position combines administrative support, CRM data management, reporting, and operational process improvement initiatives that directly support the company's growth and technology transformation efforts. The Administrative Operations & CRM Support team member serves as a central hub for customer communications, scheduling, operational support, and business process execution. While customer service and scheduling are important responsibilities, this role also plays a key part in maintaining accurate business data, supporting reporting, improving processes, and helping ensure the successful adoption of new systems and workflows. A major focus of this position will be supporting the company's transition to our new CRM platform. The ideal candidate is highly organized, detail-oriented, technically curious, and comfortable working with customer data, business systems, and process improvement initiatives. Strong verbal and written communication skills are essential, as this role interacts regularly with customers, prospects, vendors, and team members across the organization. Experience with CRM systems is preferred, but we place equal value on analytical thinking, problem-solving ability, and a willingness to learn. Key Responsibilities Customer Service & Administrative Support Provide professional, responsive, and friendly customer service via phone, email, text, and in-person interactions. Schedule design consultations, measurements, installations, service appointments, and follow-up visits. Serve as a communication liaison between customers, designers, installers, vendors, and management. Prepare, organize, and maintain digital and physical files. Support document preparation, correspondence, and general office administration. Assist with special projects and operational initiatives as assigned. CRM, Data Management & Operations Support Maintain accurate customer records and operational data across company systems. Assist with CRM implementation, data migration, data cleanup, and ongoing system administration. Review, validate, and update customer and project information to ensure accuracy and consistency. Identify and resolve duplicate, incomplete, or inaccurate records. Generate and maintain reports using CRM and Microsoft Excel data. Assist management with reporting, data analysis, and operational improvement initiatives. Help document and improve business processes, workflows, and data standards. Monitor multiple priorities while maintaining accuracy and meeting deadlines. Resolve routine administrative and operational issues independently. Required Qualifications Minimum 3 years of experience in administrative support, office administration, operations coordination, CRM management, or a related role. Strong customer service and interpersonal skills. Excellent verbal and written communication abilities. High attention to detail and commitment to accuracy. Strong organizational, prioritization, and time-management skills. Experience working with CRM systems and maintaining customer databases. Strong proficiency with Microsoft 365 applications, especially Excel, Outlook, Teams, and OneNote. Ability to manage large amounts of information while maintaining exceptional accuracy. Strong analytical and problem-solving skills. Ability to learn new software systems and business applications quickly. Reliable attendance and professional work ethic. Ability to work independently while collaborating effectively with a team. Preferred Qualifications Experience supporting CRM migration, software implementation, or data conversion projects. Advanced Microsoft Excel skills, including filtering, sorting, lookups, data validation, and reporting. Experience with customer data cleanup, database management, or data quality initiatives. Experience creating reports and analyzing operational data. Experience scheduling field service, installation, or project-based work. Experience in home improvement, construction, interior design, window treatments, or service-related industries. Experience documenting workflows and improving business processes. Bilingual communication skills are a plus. What Success Looks Like Successful team members in this role: Deliver exceptional service to customers and internal team members.
