The employer for this position is Phoenix Investors. Phoenix Investors, a national commercial real estate company, seeks to add a motivated, detail-oriented Transaction Coordinator to our talented team. The Transaction Coordinator will be responsible for supporting deals at every stage of the pipeline, CRM management, and other projects as needed relating to commercial real estate acquisitions and leasing.
Transaction Coordinator Primary Duties:
Drive transaction coordination across acquisition and leasing efforts, managing timelines and milestones from deal sourcing through closing. Maintain complete, accurate transaction records and deal files in CRM and internal systems. Collaborate cross-functionally with internal teams, including Accounting, Legal, Property Management, and Construction, to ensure smooth deal execution and tenant onboarding. Review and summarize new tenant leases, including key economic and legal terms, for internal use. Assist in the preparation of LOIs, proposals, and client-facing presentation materials. Organize and maintain deal documentation, including lease files, acquisition folders, and property records. Assist with new listing onboarding—verify property information, order leasing signs, upload photos—and audit listings across CoStar, LoopNet, Crexi, and Yardi for accuracy. Partner with the third-party marketing firm to keep marketing materials current and build tour information packages for executive property tours. Produce weekly property performance reports and conduct research on market comps, tenant profiles, ownership records, and municipal data to support team prospecting efforts. Interface with brokers, tenants, and vendors during active transactions to facilitate communication and deliverables. Identify opportunities to improve team workflows and aid in developing operational procedures.
Transaction Coordinator Secondary Duties:
Lead or participate in prospective tenant tours and broker open houses as needed. Draft letters of intent to lease and purchase as assigned. Organize reports of expiring leases and option deadlines to help the team proactively prepare for tenant discussions.
Transaction Coordinator Requirements:
Bachelor's degree in real estate, business, accounting, finance, communications, or a related discipline or an equivalent combination of education and experience. Computer skills must include intermediate working knowledge of Outlook, Excel, Word, and PowerPoint. Experience building CoPilot agents is strongly preferred. Experience with Yardi Deal Manager is preferred. Knowledge of CoStar, LoopNet, and Crexi is a plus. Self-motivated and team-oriented with strong time management skills to prioritize deadlines. Excellent organizational, interpersonal, quantitative, writing, and communication skills; able to interface with top-level executives. Strong research, analytical, and problem-solving skills; ability to analyze qualitative and quantitative information.
