About Forty Niner Nestled in the Tucson foothills, Forty Niner, also known as Forty Niner Country Club, is a community first destination for golf, dining, weddings, and private events. Forty Niner is a semi-private club that warmly welcomes the public, serving our members, guests, and neighbors with a genuine, family-like approach. We pride ourselves on delivering exceptional member/guest experiences, unmatched hospitality, and a welcoming community atmosphere. We are looking for a dynamic, organized, and creative Administrative Assistant to support our fast-paced Events, Food & Beverage, and Marketing departments. Position Summary The Administrative Assistant serves as the vital link between our members, clients, and internal leadership. This role is split between managing high-level administrative functions, driving banquet and event sales/logistics, and executing creative social media strategies. The ideal candidate is detail-oriented, comfortable handling multi-line phones and inquiries, and brings a creative eye to digital marketing. Key Responsibilities 1. Administrative & Office Support Serve as the welcoming first point of contact for members and guests via phone, email, and in-person visits. Manage general club emails, route inquiries to the appropriate departments, and draft professional, timely responses. Maintain organized digital filing systems for event contracts, vendor invoices, and department correspondence. Assist leadership with scheduling, calendar management, and preparation of meeting materials and reports. 2. Banquet & Event Sales and Logistics Respond to incoming private event, wedding, and banquet inquiries; provide initial pricing, availability, and tour information. Assist the Events Director with booking procedures, generating contracts, and taking/tracking deposits or online sales. Coordinate event logistics, including creating event order sheets, detailing floor plans, and communicating timeline updates to the Food & Beverage team. Conduct facility tours for prospective clients when needed. 3. Social Media & Marketing Support Collaborate with the Events & Marketing Director to brainstorm, plan, and execute a consistent social media content calendar (Instagram, Facebook, TikTok, etc.). Capture engaging photo and video content of club events, dining specials, golf course views, and weddings for daily posts and stories. Monitor social media channels, respond to comments and direct messages, and engage with the local community online. Assist in drafting copy and assembling graphics for club newsletters, promotional flyers, and digital advertisements. Design, write, and execute engaging email marketing campaigns and digital newsletters to keep members and guests informed about upcoming events, club updates, and dining specials.
Qualifications & Skills Experience:
Previous administrative, hospitality, event coordination, or social media management experience (country club or hospitality industry experience is a strong plus).
Communication:
Exceptional verbal and written communication skills with a polished, professional phone and email etiquette.
Tech Savvy:
Proficiency in Google Suite (Drive, Calendar, Docs, Sheets) and familiarity with major social media platforms and content creation tools (e.g., Canva, Instagram Creator Studio). Experience with Adobe Creative Cloud (Photoshop, Illustrator, InDesign) is a strong plus.
Organization:
Outstanding time-management skills with the ability to multitask, prioritize, and thrive in a fast-paced environment.
Flexibility:
Willingness to work a flexible schedule, which may occasionally include evenings, weekends, or holidays based on club event schedules.
