About the Role We are seeking a dependable, outgoing, and highly organized Property Management Administrative & Marketing Assistant to support our growing office. This is a fast-paced, hands-on position that combines administrative support, marketing and lead follow-up, customer service, leasing support, maintenance coordination, and day-to-day property management operations. Strong organization, professional communication, and proactive follow-up are essential. A significant part of this role involves communicating with people by telephone. The ideal candidate will be confident and professional on the phone, comfortable initiating conversations with prospective clients, persistent, and not easily discouraged. This is an on-site professional office position for someone who takes ownership of their work, follows through, manages multiple priorities, and does not need to be repeatedly reminded of outstanding tasks. Responsibilities Phone, Lead Tracking & Marketing Answer incoming calls from property owners, residents, prospective clients, applicants, vendors, and other contacts. Maintain professional phone etiquette and provide courteous, responsive service. Make outbound prospecting and follow-up calls to prospective property management clients, leads, referral sources, and other contacts. Track leads, conversations, appointments, outcomes, and required follow-up. Schedule consultations, appointments, property evaluations, and follow-up calls. Use company-provided scripts, talking points, and lead lists when conducting outreach. Prepare and organize marketing packets, letters, brochures, flyers, and other promotional materials. Prepare marketing materials and prospecting packages for mailing. Maintain prospect lists, mailing lists, and contact information. Support marketing campaigns and track responses and leads generated through outreach. Because proactive outreach is an important part of this role, candidates should be comfortable initiating conversations, following up consistently, and remaining positive and professional when prospects are not immediately interested. Property Management & Administrative Support Perform accurate data entry in property management, accounting, lead-tracking, and other company systems. Prepare, proofread, and organize correspondence, notices, reports, forms, spreadsheets, and other business documents. Maintain accurate and organized digital and physical files. Track appointments, deadlines, outstanding items, and required follow-up. Maintain accurate tenant, owner, property, vendor, and prospect records. Scan, upload, print, copy, mail, and organize business documents. Assist with general office administration and special projects. Identify missing information or incomplete items and follow up appropriately. Maintain professional communication with owners, residents, applicants, prospects, and vendors. Leasing Support Respond to routine rental inquiries and assist with scheduling property showings. Track prospective tenants and follow up as appropriate. Assist with rental listings and leasing-related marketing. Collect and organize rental application documentation. Support administrative portions of the application and approval process. Coordinate property showings, lease signings, and tenant onboarding activities as directed. Assist with lease-ups from approved application through move-in. Prepare move-in packets, welcome materials, and related documentation. Assist with move-in and move-out scheduling and coordination. Follow company procedures and applicable Fair Housing requirements when handling prospective tenant and resident communications. Maintenance Coordination Receive and document incoming maintenance calls and requests. Enter maintenance requests accurately into company systems. Coordinate routine communication among residents, vendors, property managers, and property owners. Assist with scheduling vendors and property access. Follow up on open maintenance requests and outstanding work orders. Track repair progress and identify items requiring additional follow-up. Organize estimates, invoices, receipts, photographs, and completion documentation. Maintain vendor contact information and related records. Escalate urgent, sensitive, or unusual matters to management promptly. Accounting & Systems Support Assist with routine data entry in property management and accounting systems. Enter and organize invoices, bills, receipts, and other records as directed. Help maintain complete and accurate owner, tenant, vendor, property, and transaction records. Identify missing documentation or information requiring follow-up. Assist with reports, spreadsheets, summaries, and routine administrative accounting tasks. Maintain confidentiality and accuracy when handling financial and business information. What Success Looks Like Success in this position means: Calls and inquiries are handled professionally and promptly. Leads and follow-up items are consistently documented and tracked. Appointments, deadlines, and important tasks are not overlooked. Marketing materials and mailings are prepared accurately and on time. Leasing and maintenance items continue moving forward. Records and system entries are accurate and organized. Management is kept informed when an issue requires attention. Required Qualifications High school diploma or equivalent At least one year of experience in administrative support, customer service, office operations, telephone-based work, marketing, sales support, or a similar role Strong verbal and written communication skills Professional telephone presence and phone etiquette Strong organizational and follow-through skills Ability to manage multiple priorities in a fast-moving office environment Proficiency with Microsoft Office, including Word, Excel, Outlook, and internet-based business software Ability to learn and work within multiple software systems Dependable attendance and punctuality Ability to maintain confidentiality and handle sensitive information appropriately Preferred Qualifications Property management or real estate experience Leasing experience Previous outbound calling or prospect follow-up experience Customer service or sales-support experience CRM or lead-tracking experience Marketing or direct-mail experience Familiarity with Rent Manager or similar property management software Familiarity with bookkeeping, accounting systems, or basic accounting concepts Schedule Monday through Friday, 10:00 a.m. - 2:00 p.m., with additional hours as needed Approximately 20-30 hours per week. Additional hours may be scheduled based on workload, leasing activity, marketing initiatives, and other business needs. Compensation $15.00-$17.00 per hour, based on experience and qualifications.
